As an Administrative Assistant, you will be responsible for
- Collecting, verifying, and reconciling monthly receipts with corporate credit card statements.
- Validating the compliance of purchase invoices related to travel and supporting the accounts payable team in processing vendor invoices.
- Booking meeting rooms and coordinating the logistics needed for the smooth running of internal meetings.
- Organizing meal orders and catering services for internal meetings.
- Managing daily mail operations, as well as the shipping and receiving of packages.
- Monitoring the kitchen inventory and ensuring its replenishment.
- Answering and routing phone calls, as well as managing the organization's email inbox.
- Ensuring effective tracking of internal communications to facilitate information flow.
- Planning, coordinating, and booking professional travel (flights, hotels, and vehicles) via the travel reservation software, as needed.
- Ensuring compliance with the internal travel policy during the booking process.
- Producing and formatting various corporate presentations and administrative documents.
- Writing, reviewing, correcting, and translating various internal documents.
- Filing and archiving documents in accordance with established procedures.
This position is for you if…
- You hold a DEP or DEC in administration, secretarial work, accounting, or a related field.
- You have 1 to 3 years of experience in an administrative position combining logistics and basic accounting support.
- You are bilingual and have excellent French language skills, both orally and in writing.
- You are proficient in Microsoft Office, including Outlook, Word, PowerPoint, and Teams.
- You are known for your administrative rigor and attention to detail.
- You have an excellent sense of organization and the ability to manage multiple files simultaneously.
- You are comfortable with technological tools and computerized administrative systems.
- You demonstrate autonomy, initiative, and excellent internal customer service.

- Position based in Saint-Bernard (South Shore of Quebec)
- Daytime hours, Monday to Friday
