What will you contribute to the team?
- Support the planning and execution of large-scale HR and ESG events (levels 1 and 2) involving more than 150 participants, ensuring smooth coordination and high-quality execution in line with Bombardier's standards.
- Coordinate logistical activities related to programs, services, and events, including venue management, vendor coordination, travel arrangements, participant tracking, and on-site operations.
- Prepare and support communications, presentations, reports, dashboards, and updates for stakeholders related to events.
- Manage and analyze complex databases on participants and events using advanced Excel and Microsoft Office features, ensuring data accuracy, report efficiency, and the production of actionable analyses.
- Produce regular, timely, and factual reports for management, including budget tracking, participation statistics, vendor analysis, and post-event evaluations.
- Support budget planning, expense tracking, invoice reconciliation, and financial reporting for events and projects, while identifying cost optimization opportunities.
- Review contracts and support negotiations with vendors to secure favorable terms, ensure compliance, cost control, and service quality.
- Establish and maintain strong relationships with external vendors and partners to facilitate issue resolution and event success.
- Support various multidisciplinary projects in accordance with established priorities, timelines, and organizational practices.
- Provide on-site support to internal and external participants and act as a Bombardier host or hostess, responding professionally to event logistics-related requests.
- Keep the team and stakeholders informed through proactive communication, regular updates, and issue resolution.
- Resolve and interpret unusual or urgent issues, demonstrating judgment, analytical thinking, and collaboration with team members when necessary.
- Identify the root causes of problems and recommend process improvements to enhance operational efficiency, report accuracy, and event execution quality.
- Demonstrate creativity and adaptability in high-pressure environments, implementing quick solutions to last-minute changes and continuously improving event processes.
- Adapt work methods to achieve team goals and deliver expected results with minimal supervision.
- Ensure that Bombardier's brand image is represented professionally at all events and in all interactions.
How will you thrive in this role?
- You have 2 to 5 years of relevant experience in event coordination, project management, operations, analysis, or related functions.
- You hold a university degree in event management, business administration, communications, or equivalent experience.
- You possess advanced skills in Excel and data analysis, including budgeting, report generation, data analysis, dashboards, pivot tables, VLOOKUP/XLOOKUP functions, and financial tracking.
- You have experience in contract analysis, vendor management, and negotiation support.
- You demonstrate strong skills in budget review and financial management, with a keen eye for detail and cost control.
- You are bilingual (French and English), both orally and in writing; knowledge of other languages is an asset.
- You possess excellent interpersonal, communication, telephone, and professional writing skills.
- You demonstrate excellent organizational and project management skills, with the ability to manage multiple priorities simultaneously within tight deadlines.
- You are flexible, adaptable, and capable of performing effectively in a dynamic and high-pressure environment.
- You are available to work on a flexible schedule to meet operational and event-related requirements.
- You are comfortable performing occasional physical tasks related to event setup and logistics (e.g., moving boxes or equipment).
- You are proficient in the Microsoft Office suite, particularly Excel, PowerPoint, Outlook, and Word.
- You are a recognized team player for your professionalism, initiative, and problem-solving abilities.
