Your Impact
Workplace Operations and First Impressions
- Create a welcoming experience for employees, clients, and visitors by managing workplace needs and reception operations.
- Orchestrate and manage highly important events.
- Coordinate daily office operations in Montreal and Quebec, including meeting rooms, access management, onboarding/offboarding, office services, and facility support.
- Maintain an organized and client-ready workspace by managing supplies, vendors, inventory, equipment, and administrative files.
- Manage mail, document distribution, and office communications.
- Serve on the Health and Safety Committee, support workplace health and safety initiatives and compliance requirements, while maintaining current first aid and fire safety certifications.
- Collaborate with the national Workplace Experience team to support inter-office initiatives and ensure consistent workplace experiences.
Events, Culture, and Employee Experience
- Help create a positive employee experience by identifying opportunities to improve workplace processes and services. Coordinate internal and external events, including networking activities, employee celebrations, client meetings, catering, invitations, communications, and on-site logistics.
- Contribute to employee engagement initiatives by participating in social committees and company fundraising efforts.
Travel and Business Support
- Coordinate employee travel arrangements, manage travel platform requests, and support company events with travel logistics.
- Oversee travel expense management, including corporate credit card reconciliation.
Who You Are
- 3 years of experience in office administration, workplace management, hospitality, customer service, or a similar fast-paced environment.
- Experience in coordinating office operations, vendor management, events, travel, and administrative processes.
- Proficiency in Google Workspace and Microsoft Office.
- Bilingual in English and French, with strong written and verbal communication skills.
- Ability to work autonomously, manage competing priorities, and meet deadlines.
- Willingness to travel to our Quebec office on a monthly basis.
- Please note that, given that we serve clients across Canada, bilingualism is essential for this role. You may be required to communicate in both French and English.
