We are seeking a highly organized and motivated individual to fill the role of Finance & Operations Coordinator. This position supports daily finance, administrative, warehouse, and HR-related operations. This role is responsible for accounts payable processing, financial reporting, vendor coordination, and general office support, ensuring smooth and compliant business operations. The ideal candidate is someone who can handle multiple responsibilities with precision and professionalism. The successful candidate will be a collaborative communicator and a precise thinker. You should be comfortable using your analytical skills to tackle challenges while maintaining high standards in a busy, time-sensitive setting.
1. Administrative Support
- Procure regular office supplies and handle ad-hoc expenses (e.g., hotel and flight bookings) using company credit cards
- Liaise with day-to-day service providers and vendors (e.g., utilities, office equipment and fixture maintenance etc.)
- Maintain and update supplier contact lists
- Assist in obtaining Service Quote
- Execute internal approval processes (signatures, authorizations)
- Manage company documentation, including contracts, invoices, and financial records (scanning & filing)
- Monitor operational expenses (utilities, internet, etc.)
- Handle vendor returns, refunds, and filing claims
- Identify potential areas for efficiency improvement
- Other ad-hoc tasks assigned by the Operation Manager
2. Finance and Accounts Payable (AP)
- Receive, review, and verify invoices (date, amount, quantity, authorization, duplicates)
- Monitor payment terms and vendor cycles to ensure timely processing
- Maintain AP records and prevent duplicate payments
- Submit invoices for payment approval and manage Purchase Request documentation
- Enter invoices into ERP system with accurate account coding
- Monitor and record company credit card transactions
- Organize, scan, and archive financial documents for audit compliance
- Reconcile daily expense records
- Support month-end closing processes by reconciling Input Tax Credits (ITCs)
- Assist with truck checking and GPS tracking (if applicable)
- Prepare Daily Financial Report, assist in preparing Quarterly and Annual Report
- Assist in Building Financial Dashboard using Data Visualization Tools
- Other Ad-hoc tasks assigned by the Accountant
3. HR Support
- Maintain employee records and update HR databases
- Maintain attendance and overtime records and manage leave & sick day tracking
- Assist in administering employee insurance programs (enrollment, updates, termination)
- Maintain HR documentation and reports
- Assist in Payroll Preparation
4. Warehouse & Office Support
- Assist with Warehouse Supply Purchases, includes skids, packing materials, and weekly operational checks
- Provide backup support related to supply chain, warehouse, and cost control functions when needed
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration or other related fields (STEM field is a plus)
- Experience in Accounts Payable, Administration, or related fields (preferred); OR a proven quick learner
- Experience with automation, data analysis or programming is a plus
- Familiarity with ERP systems (NetSuite preferred) is a plus
- Proficiency in Microsoft Excel is a MUST
- Strong organizational and multitasking skills
- Strong problem-solving skills and proactive mindset
- Comfortable working in a fast-paced environment
- Attention to detail and accuracy
- Ability to work independently with minimal supervision
- Effective communication skills (Written and Verbal) in both English and Chinese (Mandarin)
