Our client, Maison Le Réverbère, a mental health accommodation organization, is looking for a dynamic and committed person to fill the position of administrative assistant. This is a position within its organization located in Victoriaville.
Under the authority of the general management, the person in this position will be responsible for managing the administrative and accounting aspects of the organization. They will be the point of contact to collaborate and support the management in matters of HR management and confidential data management of the organization. Additionally, they will carry out their work in a manner consistent with the mission, vision, values, regulations, and policies of the organization.
Accounting Aspect
- Manage petty cash, payments, and make deposits;
- Maintain books including accounting entries, filing, and reconciliations;
- Provide the accountant with all necessary information to balance the accounts;
- Assist in filling out financial statements when possible, by transmitting statistical information or various data;
- Research subsidies that could help the organization.
Administration Aspect
- Answer the phone;
- Take messages and forward them;
- Use social media to showcase the organization, inform, and mobilize;
- Monitor social media to respond to users and partners;
- Use available media tools (newspapers, other virtual communities, bulletin boards) for the organization's visibility;
- Use software like Canvas or others to create promotional posters;
- Support the management in scheduling (absences, vacations, holidays, sick leave, payroll, etc.);
- Establish procedures in collaboration with the management;
- Manage the database of the Intégratik platform;
- Write the activity report in collaboration with the team and management;
- Design and follow up on the proper functioning of statistical collection documents;
- Keep archives and manage confidential data;
- Make purchases;
- Ensure the best internal and external communications.
Desired Profile
- Hold a college diploma (DEC-AEC-DEP) in a relevant discipline;
- Be proficient in SAGE 50, Excel, and Office 365;
- Be autonomous, show diligence, and take initiative;
- Show discretion;
- Have a heart for collaboration and civility at work;
- Be able to manage priorities;
- Show excellent French oral and written skills;
- Have a good sense of organization;
- Be able to adapt to situations emanating from the organization's mission;
- Have a minimum of two (2) years of experience in this type of function.
