About ACEE
The Association of Student Entrepreneurship Clubs of Quebec (ACEE) contributes to the development of student entrepreneurship through the Quebec college and university network. It supports over 60 clubs, assists some 745 students, and contributes to the realization of over 240 activities each year.
To strengthen its structure and support its development, ACEE is looking to hire a person who will act as the true right arm of the general management.
Your Role
Reporting to the general management, you will coordinate the administrative, financial, and organizational functions of the Association. You will contribute to structuring operations, supporting governance, and ensuring rigorous tracking of organizational priorities.
Your contribution will allow the general management to devote more time to the development of ACEE, its strategic partnerships, and its visibility.
Main Responsibilities
Administration and Operations
- Coordinate the administrative activities and main deadlines of the Association
- Develop, document, and improve management processes and tools
- Ensure the maintenance of contracts, insurance, registers, and administrative documents
- Supervise document management and collaborative platforms
- Coordinate administrative relations with service providers
Governance
- Prepare board of directors and committee meetings
- Produce agendas, documentation, and decision-making files
- Ensure the follow-up of resolutions and action plans
- Keep governance policies, procedures, and documents up to date
- Coordinate general assemblies and ensure compliance with administrative and regulatory obligations
Financial Management and Reporting
- Ensure budgetary tracking with the general management and accounting firm
- Participate in the preparation of annual budgets and dashboards
- Follow up on administrative aspects of grants and funding agreements
- Coordinate reporting to funders
- Ensure tracking of payments, supporting documents, and financial commitments
Human Resources and Organizational Coordination
- Support recruitment, onboarding, and integration processes
- Maintain administrative files of team members
- Coordinate follow-ups related to employees, interns, and volunteers
- Participate in improving human resources management practices
- Ensure follow-up of mandates entrusted to external providers
Support to General Management
- Act as the main management partner of the general management
- Prepare strategic files and decision-support documents
- Coordinate organizational priorities and follow-up of major projects
- Ensure follow-ups resulting from meetings and commitments of the general management
- Contribute to the evolution of the structure and development projects of the Association
- Desired Profile
We are looking for a person recognized for their rigor, judgment, and ability to structure the activities of an evolving organization. You should have:
- A bachelor's degree in administration, management, accounting, human resources, or a related field
- At least five years of relevant experience
- Experience in administrative coordination, operations management, or organizational development
- Excellent organizational, planning, and tracking skills
- Strong analytical, synthesis, and writing skills
- Excellent French language skills
- Good knowledge of Microsoft 365 and collaborative platforms
- Motivational leadership, autonomy, and excellent judgment
Experience within a non-profit organization or a publicly funded organization is an asset.
Working Conditions
- Full-time permanent position
- 35-hour workweek
- Hybrid work mode
- Salary based on skills and experience

- Occasional travel in Quebec during activities or events
