Operations Coordinator

Mission of the role

In a context of rapid growth, the Operations Coordinator ensures the smoothness and reliability of day-to-day operational activities, including inventory management, logistics, consistent process execution, and data accuracy.

This is a highly execution-focused role that requires discipline, autonomy, and consistency to ensure stable and predictable operations.

Key Responsibilities

1. Supply Chain Execution

• Place product and supply orders based on established needs.
• Conduct weekly inventory follow-ups, including replenishment, adjustments, and discrepancy verification.
• Implement and maintain quality-control standards.
• Oversee order packing and shipping activities.
• Process returns and warranty claims according to established procedures.
• Ensure accurate inventory data entry and maintain up-to-date systems.
• Maintain clear and consistent communication with suppliers and logistics partners regarding operational follow-ups.

2. Process Implementation and Improvement

• Structure, improve, and document operational processes and standard operating procedures.
• Document operational adjustments as required.
• Identify inefficiencies or process gaps and escalate them to management.
• Support the implementation of operational tools and systems.
• Contribute to maintaining an organized, structured, and efficient work environment.

3. Cost Monitoring and Operational Discipline

• Monitor logistics costs and flag any unusual variations.
• Identify opportunities to optimize logistics expenses.
• Collaborate on pricing and cost-structure initiatives.
• Assist in preparing the data required for gross-margin analysis.
• Provide inventory and unfulfilled-order data to the accounting team.

4. Furniture Logistics and U.S. Shipments

• Coordinate and book furniture deliveries.
• Complete the required documentation for exports to the United States, including Lacey Act, USMCA, and TSCA documentation.
• Track shipments and ensure tracking numbers are entered accurately.
• Coordinate with logistics partners to ensure communicated delivery timelines are respected.

Additional Responsibilities

• Collaborate with the marketing team during product launches.
• Prepare documents required for quotes for interior designers.
• Support the operational aspects of accounting processes, including inventory and deferred sales.
• Process supplier payments according to established instructions.

Candidate Profile

• 2 to 5 years of experience in operations, logistics, supply chain, or e-commerce.
• Highly organized, methodical, and detail-oriented.
• Able to execute tasks consistently and accurately.
• Proficient with digital tools, including Shopify, spreadsheets, and logistics platforms.
• Comfortable working in a fast-paced, high-growth environment.
• Bilingual in French and English, both written and spoken.
