As part of our ongoing growth, we are seeking a Payroll Specialist who is meticulous and organized to support our financial and administrative operations.
The Payroll Specialist and Vendor Accounts Administrator is responsible for the complete processing of payroll as well as the administration of vendor accounts for an organization with seasonal activities, multi-site operations employing approximately 300 employees.
This person plays a crucial role in maintaining the accuracy of financial data, compliance with legislative requirements, and the quality of service provided to employees and vendors. They collaborate closely with the Human Resources, Finance, and Operations teams to ensure the efficiency of administrative and financial processes.
Key Responsibilities
Payroll Administration
- Process the complete payroll cycle for approximately 300 employees across multiple sites.
- Ensure compliance with applicable federal and provincial laws, including Quebec payroll legislation.
- Verify and validate payroll data before processing.
- Perform pre-payroll reconciliations and validate post-payroll reports.
- Prepare payroll-related accounting entries, accruals, and ledger reconciliations.
- Calculate and maintain vacation banks, holidays, and other absences.
- Produce government remittances and payroll-related declarations.
- Participate in end-of-year activities, including the preparation of T4s and Notice of Assessment 1s.
- Respond to employee inquiries regarding payroll and resolve discrepancies promptly and professionally.
- Participate in payroll audits and reviews.
- Maintain legislative awareness and report any relevant regulatory changes.
- Prepare payroll-related reports, analyses, and performance indicators.
- Support the accounting department with any other necessary tasks (e.g., vendor accounts, etc.)
Qualifications
- Bilingual (French and English, spoken and written).
- Minimum of 3 to 5 years of experience in complete payroll processing in a multi-site environment.
- Experience in vendor account management.
- Strong knowledge of Canadian and Quebec payroll legislation.
- Experience with ADP Workforce Now or equivalent payroll system.
- Experience in payroll and vendor accounts accounting (accounting entries, accruals, and reconciliations).
- Experience in preparing T4s and Notice of Assessment 1s.
- Excellent analytical, organizational, and problem-solving skills.
- High discretion, attention to detail, and professionalism.
- Ability to manage multiple priorities in a dynamic environment.
