We are looking for an administrative coordinator who will actively contribute to the smooth running of our construction projects and administrative activities. As a true reference point for project managers and the administrative team, you will play a crucial role in coordinating files, tracking documentation, and supporting billing.

- Your Role
Under the supervision of the administrative and finance manager, you will ensure the smooth running and compliance of administrative processes related to projects. You will work closely with project managers, accounting, management, and operational teams.
Thanks to your organizational skills, proactivity, and attention to detail, you will directly contribute to the efficiency of the team.
Your Daily Tasks
- Administrative Coordination of Projects
- Prepare project files and track the required administrative documentation for project start-ups.
- Prepare and provide administrative documents at the end of the project and file the documents.
- Collaborate with project managers, the administrative team, and accounting to ensure the integrity and compliance of administrative files.
- Support for Project Billing
- Compile the documents needed to prepare monthly payment requests.
- Verify and ensure the receipt of purchase orders, work orders, and other supporting documents.
- File and archive documents related to billing.
- General Administrative Support
- Answer phone calls and distribute mail.
- Receive and direct visitors when required.
- Place office supply orders.
- Maintain the company's equipment list up to date.
- Participate in document management according to the company's procedures.
- Administratively follow up on files related to the company's vehicles, including mechanical inspections and transponders.
- Participate in the organization and coordination of the company's corporate activities, including the annual BBQ and holiday celebrations.
- Support management and operational teams in various administrative tasks, including those related to human resources management.
- May be called upon to support employees in the use of internal systems.
- The Desired Profile
- DEP, AEC, or DEC in administration, office management, or a related field.
- 3 to 5 years of experience in an administrative position.
- Mandatory experience in the construction industry.
- Knowledge of administrative and contractual documentation for construction projects.
- Proficiency in Microsoft Office 365.
- Experience with Mobile Punch, Cognibox, or similar platforms (an asset).
- Proficiency in both French and English, both spoken and written.
