The Role

ROBIC is looking for a dynamic supervisor to mobilize and develop the patent paralegal team. Your primary mission will be to manage a team of six (6) patent paralegals with the support of our team coordinator. In this role, you will ensure that the team achieves the firm's strategic objectives while ensuring the quality of deliverables and client service.

Management Responsibilities (50%)

  • In collaboration with the appropriate stakeholders, ensure that team members receive the appropriate training to achieve the best operational standards
  • Conduct a constant watch of best practices and ensure that internal processes and procedures are up to market standards
  • In collaboration with the operations management, ensure the implementation of relevant KIPs and follow up on them (e.g., occupancy rates tracking, activity tracking, etc.)
  • Plan, organize, and lead team meetings in collaboration with the coordinator
  • Prepare individual meetings and communicate feedback to team members to develop their skills
  • Participate in process improvement initiatives
  • Participate in operations management team meetings
  • Communicate changes in procedures from different patent offices and participate in the training offered by them
  • Answer questions from team members, colleagues, and external stakeholders
  • Ensure quality control of the mandates performed and compliance with procedures
  • Ensure that the department's global objectives are achieved
  • Cover for other supervisors during their vacations and absences

Human Resources Responsibilities (20%)

  • Participate, in collaboration with human resources, in the interviews during the recruitment of a paralegal
  • Participate in the welcoming and integration of new employees
  • Establish performance standards for the team and provide guidance as needed
  • Evaluate the skills and performance of team members and ensure they are adequate to achieve the firm's objectives
  • Manage problematic situations within the team in collaboration with the human resources team
  • Approve vacations, absences, and overtime of team members
  • Provide feedback during the annual team meetings
  • Motivate team members towards a common goal
  • Act as a positive change agent and encourage team members to embrace changes

Paralegal Role (30%)

  • Have a deep understanding of internal processes and the role of a patent paralegal
  • Update internal procedures, training guides, etc. as needed
  • Assume the responsibilities of a patent paralegal to contribute to the team's success

Requirements and Skills

  • Legal studies or bachelor's degree in law, or any other relevant training
  • A minimum of seven (7) years of experience as a paralegal
  • Proficiency in French and English, both oral and written
  • Experience in patents, an asset
  • Experience in team management (a strong asset)
  • Proficiency in Office suite software (Excel, Word, PowerPoint, Outlook)
  • Motivational leadership and team spirit
  • Judgment and analytical capacity
  • Priority management and organizational sense
  • Professionalism and discretion
