Under the supervision of the Associate Director, Real Estate Services, the Office Assistant, Real Estate Services provides support to the entire team by performing various tasks of assistance and customer service.
Role and Responsibilities
- Supply, Logistics, and Maintenance of Spaces *(Main Focus)*
- Ensure the arrangement, organization, and cleanliness of workspaces and meeting rooms
- Perform hotelling tours (restocking of desks, tracking of forgotten items and left documents)
- Check the proper functioning of equipment and furniture, and make the necessary adjustments
- Maintain the levels of supplies and hygiene products in various service points
- Receive, inspect, and store orders, track inventory, and reorder
- Refill printers and photocopiers with consumables
- Perform internal deliveries and external errands, as needed
- Install equipment, including ergonomic, and keep storage areas in order
- Shred documents and track confidential documents
- Coordinate with the building manager (Ivanhoé Cambridge) and suppliers
Reprography and Mail Services
- Provide operational support to the reprography and mail service
- Perform printing, binding, and scanning tasks
- Participate in the management and distribution of mail
Support for Food Services
- Provide support during events or specific needs (preparation of rooms, maintenance of kitchens, urgent food requests)
Requirements and Skills
- High school diploma required
- Possess a DES or DEP in secretarial studies
- Minimum of 2 years of experience in a similar role
- Computer skills and knowledge of Office suite software
- Bilingualism is an asset
- Excellent customer service skills, attention to detail, and concern for detail
- Ability to work under pressure
- Resourcefulness
