Legal Secretary - Registry Services (Temporary Position)
Under the authority of the immediate supervisor, the legal secretary - Registry Services collaborates closely with the supervisor and the lawyers of the service by offering essential technical, administrative, and logistical support to the fulfillment of their mandates. Through each of his interventions, he contributes to the proper functioning of the service by his rigor, sense of organization, and spirit of collaboration.
His commitment, creativity in finding solutions, and concern for providing a quality service make him a key partner within the team. His role requires a professional attitude and the ability to accomplish multiple tasks simultaneously while keeping a particular attention to details.

Here's how you will contribute to serving the community well:
- Write, design, and input into the computer, from handwritten notes or otherwise, various texts, documents, reports, agreements, understandings, service notes, diverse correspondence, permits, lists, formulas, calendars, and other documents;
- Prepare all the documentation for the meetings of the council, the executive committee, the public consultation assemblies, and the various committees and follow up on them;
- Prepare, according to the established directives, the judicial procedures and other legal documents as well as all the correspondence related to the notices of non-compliance, the requests, the defenses, etc.;
- Follow up on files according to the schedules and, when required, follow up with the concerned services;
- Receive visitors and provide various information, by phone or at the counter, complete the documents concerning the activities and the permits for which the service is responsible and direct the calls to the concerned person or take messages, if necessary;
- Maintain, update, classify, and code the data and the retention schedule of the DOCUTHÈQUE database and execute the requested searches;
- Perform searches in the land registry, in the case law, and other databases;
- Receive, filter, and direct the received mail;
- Keep the lawyers' registry schedule up to date and set up appointments as needed;
- Perform the keeping of the records during the process of adoption of the regulations that require it;
- Collect, compile, and verify various data and statistics, follow up on the budgetary control process, and prepare reports for the service when required;
- Act as a commissioner for oaths;
- Perform general office work, such as: photocopies, opening of files, archiving, classification, digitization of documents, stationery orders, accident report, etc.
Desired Profile
- Hold a professional studies diploma in legal secretarial work or the combination of a DEP in general secretarial work and an AEC in legal techniques or the equivalent combined with a minimum of 24 months of significant experience in a law firm, litigation service, and/or the legal services of another municipality are mandatory;
- Have a minimum of two years of experience as a secretary at the registry of a municipality, in a law firm or notary's office;
- Have good knowledge of the processes of adoption of municipal regulations and the drafting of minutes (important assets);
- Master the Office suite software and more specifically Word.
- Have excellent writing skills, very good written and spoken French, and functional English in spoken;
In addition to the above-mentioned minimum requirements, the person must notably be autonomous, show initiative, and possess a good sense of customer service, know how to show tact, meticulousness, and dynamism.
He must also demonstrate a good sense of responsibility, a good capacity to work under pressure, and to respect the schedules.
The success of the French, Excel, and Word tests is a condition of admissibility.
Schedule 33 hours per week on a 4-day schedule (Tuesday to Friday)
