The incumbent performs various administrative tasks related to document management, conservation, and archiving of the Service's documents. They also contribute to the processing of access to information requests, personal information protection, and provide administrative support and customer service.

1) Participates in updating the document classification management system; 2) Conducts document searches and tracks document circulation; 3) Ensures document classification, indexing, and organization according to the existing document management system; 4) Plans and follows up on the approved retention schedule, as per the Archives Act, and makes necessary reminders to services for document transmission to archives and keeping it up to date; 5) Conducts document transfer, purging, destruction, and reproduction according to established guidelines; 6) Conducts searches in authorized police databases according to established procedures; 7) Assists the secretary and immediate supervisor in tasks related to access to information and personal information protection; 8) Compiles various data, prepares lists, tables, and statistics; 9) Participates in digitization and document management optimization projects; 10) Ensures compliance with policies, procedures, and legal requirements related to document management and personal information protection; 11) Replaces at the reception desk when required and answers customer information requests; 12) Performs various clerical tasks.

*Required Qualifications:*

  • High school diploma (DES);
  • Minimum of two (2) years of relevant experience in administrative support, office work, or document management;
  • Experience in a municipal or police environment (asset);
  • Up-to-date training on the use of police information systems (CRPQ and MIP) (asset);
  • Knowledge of laws and regulations on access to information and personal information protection (asset);
  • Good proficiency in Word, Excel, Outlook, and Internet;
  • Excellent knowledge of spoken and written French;
  • Ability to communicate with the public.
