Advisor - Energy Procurement

Under the direction of the Director of Fuel Procurement and Supply Chain, the Energy Procurement Advisor participates in fuel procurement, pricing, contract negotiation, compliance, billing, operational management, and continuous improvement of Air Canada's global fuel supply portfolio. The person in this role contributes to managing approximately $5 billion in annual fuel expenses, ensuring supply security at the best economic conditions while fostering supplier relationships, contract compliance, business process automation initiatives, fuel management systems, and cross-functional projects essential to Air Canada's operations and strategic goals.

Fuel Procurement, Pricing, and Vendor Management

• Conduct market studies and analyze the fuel supply market to support procurement decisions and purchasing strategies.
• Be responsible for vendor selection, invoice validation, and authorizations for all aspects of aviation fuel procurement and the supply chain.
• Monitor the fundamentals of the aviation fuel market, factors influencing raw material prices, freight costs, geopolitical developments, and industry trends.
• Participate in the evaluation, negotiation, implementation, and management of global fuel supply agreements.
• Participate in vendor selection processes, RFPs, bid evaluations, and commercial negotiations.
• Contribute to vendor relationship management and performance tracking to ensure supply security and continuous improvement.
• Contribute to fuel pricing analysis, comparative analysis, and commercial evaluations to facilitate optimal purchasing decisions.

Contracts, Governance, and Compliance

• Participate in the drafting, reviewing, implementing, and managing fuel procurement contracts and related commercial agreements.
• Ensure that procurement activities comply with strategic procurement policies, governance requirements, and company procedures.
• Support contract lifecycle management activities, including documentation, amendments, audits, and compliance reporting.
• Conduct pre-vendor checks and participate in vendor audits and corrective action programs.
• Maintain up-to-date contract files and procurement documentation using approved systems and tools.
• Aviation Fuel Procurement and Fuel Management Operational System
• Support the planning and execution of aviation fuel procurement activities at the national and international levels.
• Monitor procurement performance, stock levels, fuel quality compliance, and operational risks.
• Coordinate corrective measures related to supply, quality, logistics, or vendor performance issues.
• Play a crucial role in the Fuel Management System (PAICE), supporting data integrity, report generation, user needs, system improvement, and process enhancement.
• Stay informed about fuel handling standards, technical specifications, and Air Canada's operational requirements.

Business Process Automation and Process Improvement

• Identify opportunities for process, control, report, and operational efficiency improvements.
• Contribute to business process automation initiatives by documenting operational requirements, supporting testing activities, and collaborating with technical teams and business units.
• Participate in the development and enhancement of digital tools, analytical tools, dashboards, and workflow automation solutions for fuel and procurement operations.
• Support continuous improvement, normalization, and operational excellence initiatives.

Interfunctional Collaboration

• Collaborate with Airport Operations, Supply Chain Operations, Finance, Strategic Procurement, Legal Affairs, Safety, Technology, Taxation, and Customs teams, as well as external vendors, to contribute to achieving business objectives.
• Provide analytical and operational support for projects and priorities that do not fall within routine daily activities.
• Contribute to interfunctional initiatives aimed at strengthening fuel supply resilience, mitigating risks, improving compliance, and generating the best economic results for Air Canada.
• Support crisis interventions, emergency planning, and operational problem resolution, as needed.

Qualifications

• University degree in a relevant field (business, supply chain, or finance) or equivalent professional experience.
• A degree in data analytics, data science, computer science, business analytics, management information systems, data engineering, or a related field, an asset.
• Experience in procurement, supply chain, aviation, airports, the oil industry, or a related field.
• Sharp business sense with the ability to develop business plans, define operational requirements, and perform necessary analyses.
• Excellent oral and written communication skills, ability to effectively collaborate with internal and external stakeholders.
• Strong interpersonal skills, ability to lead interfunctional teams, and build productive working relationships.
• Proven ability to work autonomously, manage multiple priorities, and demonstrate efficiency even under pressure or in changing conditions.
• Initiative, proactivity, and adaptability, with a positive attitude towards challenges and ambiguity.
• Strong time management and prioritization skills, flexibility to adapt to business needs; occasional travel may be required.
• High level of professionalism, discretion, diplomacy, tact, and good judgment.
• Entrepreneurial spirit and willingness to innovate and improve work methods.
• Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
• Experience in financial analysis and evaluation, an asset.
• At least three years of experience in the aviation fuel or oil industry, an asset.
• At least three years of experience in a procurement service, particularly for tender submissions, RFPs, negotiations, and evaluation of main products or service contracts, an asset.
• Proven punctuality and reliability to foster the overall success of the team in a fast-paced environment.
