Your Role in the Organization
Under the responsibility of a member of the management or a senior staff member of the Human Resources Department, the incumbent provides administrative and technical support to the Human Resources Department, including in the areas of health, safety, and well-being, benefits, labor relations, job evaluations, training, social benefits, skills development, organizational development, and any other matter related to the Human Resources Department.
Your Main Responsibilities
- Process inquiries from your department and other departments of the City;
- Assist the senior staff of your department in their responsibilities, such as internal control, audits, etc.;
- Update, feed, and track databases and specific files for your department. Query information databases;
- Collect, calculate, verify, validate, balance, analyze, and reconcile data;
- Create and validate, if necessary, the codes required for data management, according to the applicable guidelines;
- Review and ensure the compliance of documents;
- Provide information to internal and external clients, advise them on the procedures to follow in your field of activity;
- Produce various reports, tables, compilations, analyses, statistics, etc.;
- Analyze various administrative procedures related to your domain and submit your recommendations to your supervisor;
- If necessary, distribute certain files to other white-collar employees, assist them in the advancement of their work, and answer their technical questions;
- Provide support to other department employees and other services regarding the software used. Be called upon to make updates and act as a resource person for the vendor;
- Provide training on the use of software specific to your area of expertise.
Your Specific Responsibilities
- Receive and/or contact employees during sick leave and participate in the medical-administrative follow-up of occupational injury and disability files, in accordance with collective agreements, contracts, and applicable laws;
- Perform calculations related to disability and occupational injury files and complete the appropriate forms;
- Open, update, and close disability and occupational injury files with external parties, such as the CNESST, insurance companies, etc.;
- Provide technical and administrative support (opening files, documenting requests, updating files, searching for information) to senior staff for the job evaluation process and the maintenance of salary equity, and keep up-to-date the various remuneration data, etc.;
- Participate in the dotation process in compliance with the applicable policies and procedures, identify some recruitment means, ensure the logistics of competitions, participate in telephone interviews, reference taking, the new employee welcome program, etc.;
- Provide support to the planning and administration of training and organizational development programs, etc.;
- Provide technical support and coordinate files for hearings or conciliations at various courts;
- Analyze and produce various reports for the preparation of collective agreement negotiations or the settlement of grievances or disputes, ensure that the prescribed deadlines are met;
- Process union releases in accordance with the provisions of the applicable collective agreement;
- In collaboration with the advisors of the Service, write various document projects such as: comments on admissibility, letters of mandate to expert physicians, survey questionnaires, job descriptions, letters of contestation, letters of agreement, grievance settlement, recommendation to the council, etc.;
- Participate in the elaboration of programs and procedures related to the service, ensure their update, and participate in their promotion and dissemination;
- Respond to technical requests and provide information to staff on their working conditions, social benefits (collective insurance, pension fund, PAE, etc.);
- Communicate with various internal and external parties such as employees, managers, union delegates, physicians, lawyers, conciliators, etc., in order to follow up on your files;
- Collect, analyze, and prepare data, reports, and statistics related to human resources management in order to support senior staff in their decision-making;
- Perform various research, surveys, and analyses;
- Assist senior staff of the Service in various special projects;
- Coordinate various files related to your area of expertise;
- Perform general office work and secretarial tasks as needed.
Job Requirements
- Hold a college diploma with a specialization in human resources management.
