This is a hybrid position. The work schedule will be established with the hiring manager in accordance with the guidelines determined by the Office of the President and CEO (CEO).
We are looking for a senior executive assistant who is highly motivated to collaborate with the Office of the President and CEO of CBC/Radio-Canada. This office oversees the management of all the CEO's and the Company's priorities, including the development and implementation, at the national and international levels, of strategies and projects that have a direct impact on the organization's activities. The CEO's office also manages routine interactions with the board of directors, the senior management team, and the staff of the Company's components, as well as with industry and government stakeholders. In this role, you will provide support to the CEO's office in various aspects of its daily activities.
This position is based in Montreal.
Main Responsibilities
- Develop, manage, and maintain workflows and administrative processes within the CEO's office, and ensure their continuous improvement, as well as the filing and maintenance of files, and the management of contract signatures within this office.
- Prepare the CEO and the Chief of Staff for important activities, by coordinating complete documentation (briefing material, agendas, information documents).
- Proactively track and manage upcoming deadlines and deliverables.
- Manage protocol-related meetings and activities.
- Manage the logistical aspects of meetings: online meeting planning, room booking, participant coordination, and simultaneous interpretation service booking, if needed.
- Collaborate with internal and external stakeholders and build good relationships with them, representing the CEO's office by tone and approach.
- Manage the schedule of the senior management team meetings, and coordinate all the documentation for these meetings.
- Coordinate incoming requests, route communications, and transmit information intended for the senior management.
- Draft the first version of routine correspondence and administrative responses on behalf of the CEO's office.
- Ensure efficient and timely coordination and management of requests related to access to information, in accordance with the organization's policies.
- Coordinate domestic and international travel arrangements (bookings and expense reports).
- Provide support for budget administration, and coordinate expense reports for the CEO's office.
- Provide administrative and logistical support for board of directors activities, as needed, in collaboration with the general secretariat.
Qualifications
- Significant experience in an executive assistant or administrative role in an executive office, or in project management/coordination.
- Ability to effectively and strategically prioritize multiple files and requests and meet tight deadlines.
- Rigor and analytical thinking.
- Ability to build relationships with people throughout the organization and externally.
- Dynamic, proactive, and solution-oriented attitude.
- Excellent communication skills and a strong team spirit.
- Ability to handle sensitive information with discretion and respect for confidentiality.
- Proven experience working with senior management.
- Experience working in a complex organization.
- Post-secondary degree in a relevant field or acceptable combination of post-secondary studies and experience related to the position.
- Excellent command of both French and English (oral, written, and reading).
- Proficiency in technology and advanced knowledge of computer applications, including those in the Google and Microsoft suites (Word, Excel, PowerPoint).
- Willingness to work flexible hours, as needed.
- Occasional travel may be required.
