We are recruiting a Legal Assistant – Corporate Law Services to join our team at our Montreal office. The selected candidate must have a minimum of three (3) years of experience in corporate law and will be responsible for preparing and drafting corporate documents (including annual maintenance... registrations, cancellations, and corporate amendments), managing meeting minutes and company databases, coordinating meetings and administrative resources, daily support to paraprofessionals and assistants, and ensuring the quality, accuracy, and timeliness of all files.   • Prepare and draft documents, when required, for annual maintenance... registrations and cancellations and amendments to documents relating to name changes, changes in the number of directors, and changes of address.
  • Manage the mail of the paraprofessionals' team and provide daily support to the corporate law paraprofessionals
  • Upload documents into closing files and handle correspondence preparation.
  • Maintain the library of share certificates and company databases (ALF and EnAct).
  • Ensure the filing of documents in meeting minutes as well as in the firm's document management system.
  • Provide constant support when assistants are absent; provide support to assistants who may have to manage multiple tasks and/or tight deadlines; and work proactively as a positive and productive member of the team.
  • Coordinate and distribute tasks to be performed to various resource groups such as document specialists, administrative clerks, billing analysts, etc., as applicable, while ensuring that tasks are completed in a timely manner.
  • Coordinate meetings, including room reservations, meal planning, and audiovisual equipment.
  • Maintain and update professional knowledge and technical skills by identifying and participating in training opportunities.
  • Ensure the quality and accuracy of all work, and ensure that all work is completed in a reasonable timeframe.
  • The ideal candidate will be distinguished by the following profile:
  • Diploma in legal assisting or equivalent.
  • At least three years of experience as a legal assistant.
  • Bilingualism (French and English, oral and written).
  • In-depth knowledge of legal terminology and judicial rules and procedures.
  • Strong attention to detail and superior skills in word processing, spelling, proofreading, and editing.
  • Ability to complete tasks quickly and accurately.
  • Excellent time management skills to meet tight deadlines; organizational and versatile skills; ability to work under pressure.
  • Ability to track files while respecting the schedule, and this with minimal supervision.
  • Highest level of discretion possible and respect for confidentiality.
  • Great flexibility to perform overtime when necessary.
