Responsibilities
- Coordinate the assignment of service staff to clients based on availability, billing goals, skills, and mandate requirements.
- Maintain real-time visibility of resource needs, assignment schedules, and future staffing requirements.
- Ensure the accuracy of resource-related data in professional service automation (PSA) or project management systems.
- Update and manage skill inventories, certifications, and practice-specific capability databases.
- Serve as the central point of contact for assignment requests from mission directors and partners.
- Identify assignment conflicts, resource overloads, and underutilization, then recommend appropriate solutions.
- Participate in forecasting demand and capacity within different practices and service lines.
- Track and report on staff usage, billing rates, and workload distribution to support resource-related decisions and operational planning.
- Ensure teams accurately log their time and adhere to the firm's time tracking and billing standards.
- Communicate changes regarding mandate schedules, staffing adjustments, and employee availability.
- Collaborate with Human Resources and Talent Acquisition teams regarding integration schedules, skill updates, and new hire preparation.
- Contribute to the continuous improvement of resource management processes, tools, and governance frameworks.
- Participate in the development of standardized resource planning policies and best practices across the firm.
- Support compliance activities, including audit preparation and quality checks of timesheets.
- Demonstrate flexibility regarding occasional travel requirements.
Skills and Experience
- Bachelor's degree in business administration or a related field (asset).
- Experience in a professional services, consulting, or project management environment (asset).
- 2 to 3 years of relevant experience (asset).
- Excellent proficiency in Excel and project management or reporting tools.
- Strong analytical and organizational skills with a keen eye for detail.
- Excellent communication and collaboration skills, with the ability to influence different levels of the organization.
- Ability to thrive in a dynamic environment and manage multiple priorities effectively.
- Discretion and professionalism in handling sensitive information.
- Initiative, flexibility, and excellent teamwork.
- Excellent oral and written communication skills in English.
