The SMA Group consists of two complementary companies: SMA Équipements, specializing in the sale, rental, and maintenance of drilling and foundation equipment, and Services Mécaniques Aubin, which focuses on the maintenance and repair of heavy mechanical equipment. Reporting to the Operations Director, the Operations Assistant plays a key role in supporting operations and administration. The person coordinates operational activities, plans logistics, manages administrative tasks, and communicates with internal teams and external partners. Versatile and organized, they contribute to process improvement and the smooth operation of daily activities, while supporting management in various administrative and organizational tasks.

*Project Management and Coordination*

  • Receive client calls and emails, gather all information directly into the system.
  • Ensure the opening and tracking of work orders, in collaboration with the technical team.
  • Create and maintain customer files and equipment information in the management system.
  • Schedule technician hours and coordinate with the client.
  • Organize air travel arrangements with the travel agency and forward tickets to technicians.
  • Validate the time clocks of technicians assigned to projects.
  • Support technicians in rental operations.

Other Administrative Tasks

  • Prepare, write, and format administrative documents (emails, reports, presentations, minutes).
  • Support the technical advisor and management in various administrative and organizational tasks.
  • Participate in improving internal processes.
  • Any other related tasks.

Required Profile

  • DEC in administration, office management, logistics, or related field (or equivalent experience)
  • Relevant experience in administrative support, coordination, or logistics, preferably in an operational or field context
  • Proficiency in Office Suite (Excel, Outlook); ability to quickly learn new systems
  • Intermediate English skills (oral and written) (communication with some out-of-province clients and partners)
  • Excellent organizational skills and ability to manage multiple files simultaneously
  • Strong communication and customer service skills
  • Attention to detail, discretion, and reliability
  • Autonomy, resourcefulness, and team spirit
