ROLE OVERVIEW

This position provides administrative and coordination support to Air Inuit's Integrated Management System (IMS), Quality Assurance, and Safety Management System (SMS) programs, contributing to the maintenance of the company's operational safety and compliance standards. The incumbent is responsible for organizing and documenting meetings related to safety and operations, preparing agendas and bilingual meeting minutes (French and English), managing SMS reports and databases, tracking employee training and compliance files, producing management reports, and supporting quality assurance initiatives. The ideal candidate is a bilingual individual, organized and detail-oriented, with excellent communication, analytical, and problem-solving skills, capable of managing multiple priorities, maintaining the confidentiality of information, and contributing to the continuous improvement of safety, quality, and operational excellence in a dynamic aviation environment.

DAILY ROLE

  • Participation in the company's safety management system.
  • Assist the Integrated Management System (IMS) manager and flight quality assurance;
  • Prepare the following for the biweekly SMS, operations, and department meetings, and monthly occupational health and safety (OHS) meetings:
  • + Invitations
  • + Agendas
  • + Meeting minutes in English and French;
  • Create, update, and track SMS reports in the database;
  • Prepare monthly reports on current SMS report files;
  • Keep employee files up to date and ensure their IMS training is current;
  • Keep various lists and databases up to date;
  • All administrative tasks deemed necessary by the direct supervisor.
  • Support the team and department as needed for operational needs.

WHAT SETS YOU APART

  • Bilingual written and spoken (French/English), Inuktitut (an asset);
  • College diploma or equivalent;
  • Ability to synthesize and summarize information;
  • Ability to deduce, analyze, and solve problems;
  • Excellent interpersonal and communication skills;
  • Professional, responsible, and reliable attitude and ability to maintain confidentiality;
  • Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook);
  • Excellent time management and work skills and ability to work autonomously and under pressure;
  • Attention to detail;
  • Knowledge of data entry in databases (an asset);
  • Experience in quality assurance and the aviation field (an asset).

COMPENSATION

  • Salary and benefits are determined in accordance with the company's policy.

WORK CONDITIONS

  • 37.5 hours per week, Monday to Friday.
  • Possibility of telecommuting one day per week after the probationary period.
