JOB NATURE

Under the authority of the Administrator of the Department of Political Science, provide professional, administrative, and logistical support regarding the placement of undergraduate and graduate students in internships by conducting internship searches and ensuring that students obtain positions; advise graduate students in political science on program requirements to help them make informed decisions about course selection, course load, etc.; anticipate difficulties that students may face regarding program requirements, advise them, and propose solutions to promote their success.

MAIN RESPONSIBILITIES

  • Search for internships for students in the public and private sectors; find internship opportunities and schedule meetings with students to find suitable internships.
  • Develop, coordinate, and conduct workshops for students on program requirements, CV preparation, job search, interview process, and interpersonal skills, in partnership with GradProSkills.
  • Respond to internal and external inquiries about internship programs offered to undergraduate and graduate students.
  • Advise graduate students in political science about their course selection based on program requirements; respond to student inquiries in person (with or without appointments), by email, and by phone; maintain communication with representatives of the Graduate School and the Dean's Office of the Faculty of Arts and Sciences for various aspects regarding student consultation and recruitment; maintain communication with the Assistant to the Political Science Program regarding issues related to graduate student consultation.
  • Preselect students for internships.
  • Maintain cordial relationships with various public and para-public organizations as well as the private sector for internship placements; regularly organize visits to employers' offices to ensure that students provide quality work; develop strategies to collect feedback from hiring managers to identify aspects of the program that need improvement.
  • Maintain regular contact with students during their internships to ensure the smooth running of their work experience; meet with them at least once during their internship.
  • Coordinate and maintain an accurate and up-to-date registry of internships completed by students as well as the names of resource persons in the professional environments where internships take place, as well as a database of graduates; occasionally meet with graduates and employers to cultivate good relationships with them in anticipation of future internships and collaborations.
  • Maintain up-to-date databases of employers and student placements.
  • Develop strategies to enhance the internship program offered to undergraduate and graduate students.
  • Design strategies, projects, and activities to promote the program, in consultation with the undergraduate and graduate programs' directors.
  • Maintain up-to-date files for graduate student consultation for tracking purposes; maintain up-to-date files for students enrolled in the internship option and the POLI 397 (internship) course in the Master's program in Policy Analysis and Public Administration.

QUALIFICATIONS

  • Bachelor's degree in Public Administration and Political Science or a related field and two to four years of relevant work experience.
  • At least two years of experience in internship or co-op placement with federal, provincial, or municipal government, private companies, or non-governmental organizations.
  • Good knowledge (intermediate level) of Word (formatting letters, lists, and contracts and merging mail), Excel (performing mathematical and financial calculations), and Access (linking tables and creating queries). Practical knowledge of Outlook and the Internet.
  • Knowledge and experience of the University's policies and procedures.
  • Good knowledge (Level 4) of spoken and written English and French.
  • Precision, attention to detail, and good judgment.
  • Ability to work under pressure and meet deadlines.
  • Ability to work with minimal supervision; team spirit.
  • Availability to work outside normal business hours, if necessary.
  • Knowledge of SGP and UNITY is an asset.
