In this key role, you will be responsible for overseeing the daily activities of the office, ensuring the efficiency of processes, the quality of service, and the smooth running of operations. You will coordinate administrative tasks, manage priorities, and optimize work practices.

Job Responsibilities
Team Leadership and Performance Management
- Supervise and coach employees in the mail room across three sites
- Manage recruitment: interviews, hiring, onboarding, and terminations (layoffs or valid reasons)
- Conduct annual performance evaluations, set goals, and track performance
- Perform annual criminal background checks
Operations and Customer Service Management
- Maintain a good understanding of operations across the three sites and ensure regular presence
- Ensure that daily operations, supplies, and staffing needs are met
- Manage new and ongoing projects to ensure their smooth execution
- Respond to and follow up on requests from Toronto headquarters
Health, Safety, and Compliance
- Actively participate in health and safety committees and meetings
- Keep health and safety boards and documentation up to date on each site
- Collaborate with health and safety representatives and government agencies (WSIB) in case of workplace accidents
Attendance, Reporting, and Administration
- Manage employee attendance, sick leave, vacation, and personal days
- Ensure the accuracy and updating of timesheets in Kronos
- Prepare and submit monthly service level agreement (SLA) reports for all sites
Problem-Solving and Continuous Improvement
- Professionally and promptly address issues related to staff, operations, and clients
- Support mailroom management standards (GMM) and service improvement initiatives
Qualifications
- High school diploma or equivalent
- 2 to 3 years of experience in supervision or team management
- Experience in mailroom, office services, facilities, or customer service, including digital mailroom operations (an asset)
- Health and safety training (an asset)
- Experience with Kronos or a similar workforce management system
- Good knowledge of workplace health and safety standards

The salary range for this position is $55,000.00 to $60,000.00.
