Summary of Responsibilities

Under the authority of the management team, the incumbent supports managers in the administrative functioning of the Direction of Evaluation of Medicines and Technologies for Reimbursement (DER). They collaborate closely with managers and assist them in the accomplishment and organization of their daily administrative tasks. They are called upon to perform various technical tasks related to the production of the direction. They oversee the internal and external relations of the direction and ensure the smooth running of current operations. The incumbent reports on the execution of the tasks entrusted to them. They are autonomous in the organization of their work and take the necessary means to adequately meet the expectations of managers. The person will also be called upon to collaborate with other INESSS departments in the realization of common mandates.

Specific Responsibilities:

Administrative Support Volet

  • Support the direction team in the realization of their functions (human resources and production).
  • Perform various tasks such as letters, reports, tables, presentations, and other documents.
  • Collaborate on the realization of special files and perform technical tasks such as data compilations.
  • Ensure communication with external stakeholders in the planning of activities.
  • Ensure the updating of the employees' schedule, absence calendar.
  • Maintain the direction team's agenda and expense accounts.
  • Organize the direction team's meetings.
  • Coordinate tasks related to the evaluation of medicines, the preparation of work meetings, and forward documentation to participants.
  • Collaborate on email follow-up.
  • Ensure the updating of lists of committees, collaborators, partners, etc.
  • Collaborate on the arrival of new employees of the direction.
  • May be involved in budgetary expense tracking.
  • Volet Implementation and Development of the Direction's Administration
  • Support the direction team in the development and implementation of management tools.
  • Collaborate on the implementation of new management procedures and ensure their implementation.
  • Identify problematic situations hindering the smooth running of the direction's activities and propose solutions.

Volet Project Follow-up

  • Use and develop management tracking tools, in collaboration with the Administrative Services Department, the general secretariat, and communications (Logibec, human resources, financial, IT, and material resources, etc.).
  • Process requests for fees from project managers, experts, collaborators, etc.

Volet Secretariat Support

  • Act as a resource person for the direction members and respond to requests.
  • Initiate new secretariat agents to work.
  • Work in collaboration with members of other INESSS departments.

Requirements

  • Diploma in office techniques or any other relevant training.
  • Minimum of three (3) years of relevant experience as an administrative assistant or administrative assistant in support of management or similar functions. Any other relevant training or experience may be considered.
  • Excellent knowledge of French.
  • Mastery of the Office suite - advanced TEAMS, Word, PowerPoint, Excel, etc.
