YOUR ROLE

In this role, you will support the Associate Chief of Staff (ACoS) and work closely with the Executive Assistant to the President and Chief Executive Officer and the Chief of Human Resources and Organizational Development to provide support and help them operate efficiently and agilely. The ideal candidate will be proactive and discreet, agile, and possess strong collaboration, organization, and communication skills.

As the Principal Administrative Assistant to the President and Chief Executive Officer, you will:

  • Support the ACoS, the Executive Assistant to the President and Chief Executive Officer, and the Chief of Human Resources and Organizational Development to ensure the smooth running of the Chief Executive Officer's daily activities, the President and Chief Executive Officer's Office, and the Human Resources and Organizational Development team
  • Support the management of complex calendars, agendas, meetings, appointments, and priorities for the Chief Executive Officer, the President and Chief Executive Officer's Office, and the Human Resources and Organizational Development team
  • Provide support for coordinating and triaging calendars for meetings with external partners, internal stakeholders, and senior executives, including logistics and follow-ups
  • Support the coordination of travel and itineraries for the Chief Executive Officer, the President and Chief Executive Officer's Office, and the Human Resources and Organizational Development team, in accordance with internal policies
  • Perform administrative tasks, including meeting planning, travel coordination, and general support to executives and designated team members
  • Maintain contact databases and ensure that information in DealCloud is accurate and up-to-date
  • Act as a resource person for internal stakeholders, external partners, and high-level contacts, including answering calls and emails, as needed
  • Prepare, process, and validate expense reports, invoices, approvals, compliance-related submissions, and gift declarations in a timely manner
  • Develop and maintain an internal network to support the advancement of files, resolve issues effectively, and work autonomously
  • Ensure that action or information requests are routed to the appropriate team members and followed up on, as needed
  • Support event planning and respond to ad-hoc requests from the team to ensure the smooth operation of operations
  • Provide backup support to the Executive Assistant, the President and Chief Executive Officer's Office, and the Human Resources and Organizational Development team during absences

WHAT YOU WILL NEED

  • Bachelor's degree, an asset
  • A minimum of five (5) years of relevant experience in a similar position, preferably in a financial or professional environment
  • Advanced knowledge of Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams [live meetings], OneDrive) and other service-specific systems. Experience with Concur and travel service providers, an asset
  • High level of professionalism, diplomacy, and discretion
  • Developed collaboration skills and the ability to build trust with internal stakeholders, senior executives, external partners, and administrative colleagues
  • Developed communication skills, both oral and written
  • Excellent customer service approach and the ability to respond quickly and positively to unexpected requests
  • Ability to identify, analyze, and resolve issues, and escalate them appropriately in a solution-oriented approach
  • Ability to handle detailed information with great accuracy and attention to detail, using precise approaches and tools to verify deliverables
  • Ability to prioritize and manage multiple concurrent tasks
  • Experience in proofreading and editing
  • Good ability to learn new technologies to become autonomous with the systems used daily to perform assigned tasks
  • Bilingual: English and French *(frequent interactions in English with PSP employees based in our Hong Kong, London, and New York offices, and interactions in French with employees in our Montreal and Ottawa offices)*
