POSITION OVERVIEW

Under the authority of the Associate Dean or Associate Director of the Centre for University Success, coordinate the general activities of programming, communication, and awareness related to the first-year student experience; design, implement, update, and evaluate programs and services and promote these activities to the University community; act as a resource person for this community regarding services, communications, and activities for newly enrolled and first-year students; supervise the professional and student staff directly.

PRINCIPAL RESPONSIBILITIES

  • Design, plan, staff, implement, and evaluate services, activities, and programs related to the first-year student experience.
  • Design, plan, implement, and evaluate new communication and awareness initiatives for undergraduate and graduate students, in collaboration with the Associate Dean or Associate Director and the University Communications Service stakeholders.
  • Recruit and integrate student employees, coordinate their work, provide advice, and foster their engagement.
  • Liaise with stakeholders and campus partners, and coordinate their participation in events for newly enrolled and first-year students, as well as in programs, awareness initiatives, and related communications.
  • Chair the University Orientation Planning Interdisciplinary Committee and serve as a resource person for members of the institution regarding orientation and the first-year student experience.
  • Supervise the design, development, revision, and updating of communication materials - including presentations, websites, newsletters, and printed materials - ensuring their accuracy, brand image consistency, and compliance with the University's style guidelines, in collaboration with the University Communications Service.
  • Liaise with student services units and other internal resource persons regarding services offered to students.
  • Based on evaluation practices, research, recommend, and implement tools, strategies, and logistical devices to improve the unit's functioning, student engagement, and the effectiveness of awareness initiatives and programs.
  • In collaboration with the Associate Dean or Associate Director, contribute to short- and long-term planning and the strategic development of the unit and the Centre for University Success.
  • Perform other tasks to support the unit and the Centre for University Success.

QUALIFICATIONS

  • Bachelor's degree in education, psychology, social sciences, or a related field, and four to seven years of relevant experience in higher education, including in retention, transition, counseling, and orientation.
  • Experience in mentoring peer mentors and students.
  • Previous experience in designing and implementing programs.
  • Excellent knowledge (Level 5) of spoken and written English, and basic knowledge (Level 3) of spoken and written French.
  • Good knowledge (intermediate level) of Word, Excel, PowerPoint, and Teams.
  • Excellent interpersonal and communication skills, and ability to build relationships.
  • Excellent planning, organization, decision-making, and problem-solving skills.
  • Ability to manage multiple tasks, work under pressure, and meet deadlines independently.
  • Proven ability to demonstrate empathy towards diverse stakeholders and those in difficult personal situations.
  • High attention to detail.
  • Availability to work outside normal hours (9 am to 5 pm) during peak periods.
  • Experience working in higher education or student experience activities is an asset.
  • Professional experience in organizing large-scale events is an asset.
  • Experience working on communication campaigns targeting university students is an asset.
  • Affability (ability to be tactful and patient) and self-control (ability to remain calm in difficult or stressful situations) are desirable qualities.
