At Lufa Farms, our mission is to build a better food system by growing food where people live, and doing so responsibly. We also work in partnership with hundreds of local farmers and artisans to provide our subscribers with a complete, fresh, local, and responsible grocery from our Online Market. With new promotional projects requiring structured leadership, we are looking for a motivated person to become our Administrative Coordinator.
Reporting to the Inventory Manager, the incumbent is responsible for preparing and updating various weekly reports and tracking other tasks related to promotional activities. They work closely with all team members and actively participate in various department-related projects while respecting established deadlines.
*Responsibilities:*
- Assist the team in managing and updating weekly purchase-related reports;
- Extract and analyze specific data, complete and update purchase-related documents and reports;
- Ensure follow-up with suppliers and draft purchase-related correspondence, both internal and external;
- Prepare administrative documents necessary for purchase management;
- Contribute to the development and implementation of new processes within the purchasing department, documenting those that have never been formalized;
- Collaborate closely with the IT department to optimize purchasing processes;
- Participate in strategic meetings for a deep understanding of objectives and be the main point of contact between the purchasing team and other departments;
- Manage the tracking of ongoing projects and document supplier performance;
- Participate in interdepartmental projects to support the team's objectives.
- *Requirements:*
- Bachelor's degree in administration, marketing, or equivalent field, completed with relevant experience;
- Two to three years of experience in marketing or a purchasing role;
- Excellent proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) at an advanced level;
- Bilingualism (French and English) in writing and speaking;
- Strong analytical, organizational, and structuring skills;
- Excellent priority management, initiative, autonomy, and attention to detail;
- Ability to effectively solve problems.
- *Assets:*
- Passion for sustainable, local, and high-quality food;
- Experience with online research tools and product recommendation software;
- Knowledge of merchandising for websites, mobile sites, and applications.
- *Schedule:*
- Full-time (40 hours/week), Monday to Friday, 8:00 AM to 4:00 PM;
- Note: This position requires flexibility to work outside normal business hours as needed.
- *Salary and Benefits:*
- Salary will be determined based on the candidate's experience and knowledge;
