Receptionist

HOURS: Monday to Friday 8:30 AM to 4:30 PM JOB FUNCTION:

Responsible for receiving and routing telephone calls, welcoming residents and visitors, and providing general information, based on available information, to meet the needs of the parties involved.

TASK DESCRIPTION:

Receives and routes, using telephone networks, incoming calls from internal and external sources to ensure the required communication.

Records messages, routes or joins, according to instructions, the requested persons to ensure communication or deliver messages; informs the concerned persons during the absence of staff and residents.

Obtains more information, in case of ambiguous calls, by questioning the interlocutor to refer them to the right person or service or to provide the right information.

Informs, according to precise directives and after consulting directories or lists, the interlocutors of the telephone number, fax number or cell phone number to dial so that they can communicate with the interested person.

Keeps up-to-date, according to the information, the various computerized or printed telephone directories to provide the right numbers.

Welcomes people who come to the offices, according to their need, and directs them to the appropriate persons or services.

Fills out the appropriate forms and documents, writes the correspondence and the required reports according to the information to ensure the necessary follow-ups.

Receives the mail, distributes it and processes the mail to be sent to the external.

Performs, if necessary, all or part of the tasks belonging to any other category of employment equal or inferior.
