The Procurement Specialist coordinates the procurement of supplies for our stores, headquarters, and distribution center. They ensure optimal service to all employees of the stores and headquarters. They ensure the efficiency of inventory management, establish and maintain strong relationships with suppliers, work on special projects assigned to them, and support the procurement team.

This is a maternity leave replacement.

How will you support the team?

1. Purchasing and Negotiation

  • Negotiate product prices, fees, and conditions with current and potential suppliers.
  • Proactively seek to identify new suppliers for existing purchases.
  • Actively seek new suppliers for all bulk purchases.
  • Bring new ideas to reduce service costs by evaluating actual costs against service needs.
  • Identify suppliers in China and evaluate the advantages and disadvantages of direct sourcing from China compared to local sourcing for bulk purchases.
  • Ensure that supplier and cost information remains up-to-date in the system to avoid errors in purchases and sales.
  • Ensure that invoice information matches purchase orders before sending them to the accounting department.
  • 2. Inventory Management
  • Analyze and control article consumption as needed to renew all stock adequately.
  • Verify that stock levels are sufficient to avoid disruption of operations.
  • Evaluate the logistics schedule for all bulk purchased products to ensure maximum efficiency in the receipt of initial orders and reorder orders.
  • Evaluate the space required in the warehouse for supplies.
  • Coordinate the monthly inventory check made by the supply warehouse team.
  • Negotiate agreements with suppliers regarding stock storage until order shipment.
  • Analyze stocks and communicate strategic opportunities for future purchases based on observations made.
  • Develop, maintain, and update databases for inventory and pricing.
  • 3. Service
  • Support the procurement team to ensure that regular store requests for supplies are processed adequately.
  • Ensure that special requests from stores and headquarters are processed and executed efficiently within the expected timeframes.
  • Analyze the current supply ordering process for stores and headquarters, and identify opportunities to improve it.
  • Obtain store feedback on recurring products used and identify opportunities (e.g., quality issues, ineffective products, etc.).
  • 4. Service Support
  • Act as a resource and expert for the team by providing coaching and advice to ensure team performance.
  • Produce monthly reports on stock status.
  • Participate in the continuous improvement of service processes.
