Job Overview
The Bilingual Accounting Assistant (French/English) supports the finance team by ensuring daily accounting operations are accurate and up-to-date. This role plays a key part in managing vendor and customer accounts, supporting payroll processes, and maintaining effective communication with internal teams and external partners.
This position is based in Quebec and requires full-time office presence for the first six months to facilitate integration, training, and team collaboration. After this period, a hybrid work arrangement may be implemented based on company needs and employee performance.
Key Responsibilities
Accounting and Financial Support
- Maintain accurate records for customer and vendor accounts
- Oversee accounts receivable activities, including payment tracking and collection follow-ups
- Participate in regular reviews of delinquent accounts and provide status updates
- Investigate and resolve billing or payment discrepancies
- Record and properly allocate received payments
- Process credit requests according to internal approval procedures
Vendor Accounts
- Verify and reconcile vendor invoices with purchase orders and receiving documents
- Enter vendor invoices into the accounting/ERP system
- Prepare and process vendor payments within required timelines
- Maintain organized and up-to-date vendor account files
- Participate in account reconciliations and end-of-month processes
Payroll and HR Support
- Support the processing of salaried and hourly employee payrolls, ensuring compliance with applicable regulations
- Maintain and update employee records in the Dayforce (time and payroll management) system
- Accurately enter new employee information into payroll systems
- Manage and maintain the confidentiality of HR documents, including employee onboarding files
Customer Service and Administration
- Provide reception and customer service support as needed
- Respond to client and vendor inquiries professionally and promptly
- Maintain organized filing systems and participate in general administrative tasks
- Contribute to special projects and reporting requests as required
Qualifications
- Post-secondary education in accounting, business administration, or a related field
- Minimum of 5 years of experience in a accounting support or administrative role
- Experience in the manufacturing sector is considered an asset
Skills and Abilities
- Strong attention to detail and high level of precision
- Excellent numerical skills and proficiency with financial data
- Excellent organizational skills and ability to manage priorities
- Strong communication skills with a customer service-oriented approach
- Proficiency in Microsoft Office suite (Excel, Word, Outlook)
- Experience with an ERP or accounting software is an asset
- Ability to manage multiple priorities in a dynamic and fast-paced environment
- Positive attitude, adaptability, and willingness to learn
- Full bilingual proficiency in French and English, both orally and in writing
