Key Responsibilities
Office Operations: Coordinate daily office activities, maintain administrative procedures, and ensure smooth day-to-day operations.
Administrative Support: Manage schedules, meetings, office correspondence, records, and documentation while maintaining confidentiality.
Vendor Coordination: Communicate with suppliers and service providers, oversee office inventory, and ensure timely procurement of office supplies.
Facilities Management: Coordinate office maintenance, workspace organization, equipment servicing, and health and safety requirements.
Team Support: Assist with onboarding new employees, coordinate internal communications, and support various departments with administrative needs.
Budget Administration: Monitor office expenses, process invoices, and help maintain departmental budgets and purchasing records.
What We Are Looking For
Experience: 3 to 5 years of experience in office administration, office coordination, or office management, with experience handling multiple administrative responsibilities in a professional environment.
Education: Diploma or bachelor's degree in Business Administration, Office Administration, Management, or a related field is preferred.
Technical Skills: Proficiency in Microsoft Office 365, including Word, Excel, Outlook, and PowerPoint. Experience with office management software or ERP systems is considered an asset.
Communication Skills: Excellent written and verbal English communication skills. French language skills are considered an asset for supporting clients and colleagues in Quebec.
Organization: Strong time management, attention to detail, and the ability to prioritize multiple tasks while meeting deadlines.
Problem Solving: Resourceful, proactive, and capable of resolving operational issues independently while maintaining a high level of professionalism.
Leadership: Comfortable coordinating office activities, supporting team members, and collaborating across departments without direct executive management responsibilities.
Pay: $6,248.00-$7,600.00 per month
