Work Environment
Under the direction of the Finance Department, the Accounting and Treasury Service is responsible for financial management, accounting, treasury, production of financial statements, and the reporting activities of HEC Montréal and certain related entities, including the HEC Montréal Foundation. The service ensures the integrity of financial information, compliance with applicable accounting standards, and the quality of analyses supporting decision-making.
Role and Responsibilities
The Financial Management Analyst acts as an expert advisor in financial accounting, financial analysis, and reporting for the activities of the Endowment Fund and the HEC Montréal Foundation. The person plays a key liaison role with the Foundation, Trustee, investment managers, external auditors, and various internal stakeholders to ensure the accuracy, compliance, and optimization of financial processes.
Specifically, the person holding this position:
- Ensures the accounting of the Endowment Fund and HEC Montréal Foundation's financial operations using the integrated management system in compliance with applicable accounting standards.
- Performs monthly, quarterly, and annual account analyses. Identifies and corrects all anomalies and irregularities, according to accounting principles and university financial rules.
- Analyzes donation agreements to determine the appropriate accounting treatment in accordance with applicable standards for non-profit organizations.
- Analyzes donation agreements (cash donations, securities donations, and other forms of philanthropic contributions) to determine their accounting treatment and ensures the tracking of donations and restrictions imposed by donors.
- As required by the entities, ensures the acquisition of minutes, contracts, and any other documents necessary for the accounting of operations.
- Monthly accounts for the fair market value of the HEC Placement Fund.
- Conducts reconciliations, analyses, and tracking of placements held within the HEC Placement Fund, including the monthly accounting of their fair market value, placement income, and management fees.
- Analyzes placement income and discrepancies between accounting records and reports from managers or the trustee.
- Coordinates the monthly and annual closing of the HEC Foundation and the HEC Endowment Fund.
- Prepares financial statements, financial statement presentations, and justificatory analyses for the HEC Montréal Foundation.
- Maintains verification files for external auditors for the HEC Montréal Foundation and the HEC Endowment Fund.
- Participates in the notes to the financial statements of the School for sections under their responsibility.
- Acts as a financial resource during audit assignments and coordinates internal and external information requests.
- Prepares declarations, regulatory reports, and required financial disclosures for government authorities and relevant organizations for the activities under their responsibility.
- Acts as a financial partner with members of the HEC Montréal Foundation and various institutional stakeholders, responding to information requests regarding the financial management of funds under their responsibility.
- Develops, updates, and documents policies, directives, and work processes for activities under their responsibility according to HEC Montréal's established rules.
- Collaborates in the development of financial reports responding to the needs of entities under their responsibility and the Accounting and Treasury Service.
- Participates in the implementation and updating of the integrated system.
- Identifies opportunities for process improvement and recommends practices that promote operational efficiency and strengthen internal controls.
- Submits to their supervisor any file requiring special attention; performs any other task at the request of their supervisor or required by their duties, allowing the maintenance or improvement of their work sector's services.
- Desired Profile
Bachelor's degree in accounting and a minimum of 2 years of relevant work experience in financial accounting, financial analysis, and financial statement preparation.
- Experience in an academic environment, the philanthropic sector, or with non-profit organizations, an asset.
- Significant experience in a complex environment involving multiple financial entities or funds.
- Good knowledge of Canadian Not-for-Profit Accounting Standards.
- Good knowledge of accounting principles related to endowment funds, placements, and philanthropic activities.
- Good understanding of the issues related to donation agreements, donor-imposed restrictions, and trust mechanisms.
- Excellent mastery of financial statements and preparation of verification files.
- Very good knowledge of commonly used software and technological environments.
- Knowledge of using an integrated management system.
- Very good knowledge of Microsoft Excel (pivot tables).
- Very good knowledge of spoken and written French.
- Good knowledge of spoken and written English.
- Very strong analytical, synthesis, and problem-solving skills for complex issues.
- Attention to detail and high professional rigor.
- Strong autonomy and ability to work with minimal supervision.
- Excellent ability to manage complex files independently and ensure their completion.
- Interest in learning new technologies.
- Professional judgment and critical thinking.
