POSITION SUMMARY

Bixlers is seeking a highly organized and detail-oriented Manufacturing Administrative Coordinator to join our team on a 12–18 month maternity leave replacement contract, with the possibility of a permanent position based on business needs and performance.

This role supports the day-to-day administrative and coordination activities of our manufacturing operation, including production scheduling, order management, client communication, reporting, and data accuracy within Microsoft Dynamics 365 Business Central. The successful candidate will work closely with internal teams, vendors, and clients to ensure orders move efficiently through production and are delivered on time.

Reporting to the Manufacturing Director, this position is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and has exceptional attention to detail.

KEY RESPONSIBILITIES

Client & Order Coordination

  • Communicate with clients regarding order status, production timelines, and delivery schedules.
  • Prepare quotations, production updates, and status reports.
  • Respond to client inquiries and assist with service requests and returns.
  • Support new client and program onboarding.

Production & Manufacturing Administration

  • Coordinate and monitor production schedules to ensure deadlines are met.
  • Create and maintain production orders, routings, and bills of materials (BOMs) in Business Central.
  • Track orders throughout production and help resolve scheduling or workflow issues.
  • Maintain accurate manufacturing, inventory, and production records.
  • Coordinate with suppliers and subcontractors regarding outsourced services.
  • Assist with shipping documentation, customs information, and delivery reconciliations.
  • Perform final order reviews to ensure accuracy and completion before shipment.

QUALIFICATIONS

  • College diploma or university degree in Business Administration, Operations, Supply Chain, Logistics, or a related field.
  • Minimum 3 years of experience in a manufacturing, production coordination, or administrative role.
  • Experience with Microsoft Dynamics 365 Business Central is a strong asset.
  • Advanced proficiency in Microsoft Excel and Microsoft Office.
  • Strong organizational, communication, and time-management skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and work effectively in a collaborative environment.
  • Experience in jewelry, luxury goods, or manufacturing is considered an asset.
  • Strong English communication skills (spoken and written) are required.
