As a Project Administrative Assistant working within the Operations team in Pomerleau's Civil & Infrastructure division, you will play a key role in supporting project teams with their essential administrative tasks. Working on large-scale construction projects ranging from $1.5 million to over $1 billion, you will contribute to updating project documentation, meeting schedules, and coordinating project resources.
What you will do
- You will communicate proactively with team members, business partners, consultants, and clients, while providing excellent customer service;
- You will use and maintain our internal systems to ensure rigorous and up-to-date classification of project documentation;
- You will contribute to the preparation of administrative documentation and tracking of contractual documents;
- You will ensure the accuracy of information and update and distribute the required documents;
- You will administratively track shop drawings, Requests for Information (RFI), purchase orders, change orders, and end-of-project documents;
- You will update presentations, reports, and other documents as projects evolve;
- You will handle project billing and follow up with the relevant teams;
- You will process payroll for workers, ensuring the accuracy of information, adherence to schedules, and established procedures;
- You will track time sheets, hours worked, and all necessary documentation for payroll processing;
- You will provide administrative support to the project team and contribute to the smooth running of daily operations.
- This position is for you if you have:
- More than 2 years of administrative experience in a fast-paced environment;
- A college diploma in administration or a combination of relevant training and professional experience;
- Good proficiency with MS Office suite;
- Geographic mobility to work on projects in remote regions, as needed operationally.
- Additional Asset:
- Prior knowledge of the construction industry.
