As part of our growth, we are looking for an organized, meticulous, and proactive Project Assistant and Estimator to support our team in the preparation, coordination, and follow-up of our projects.

The Project Assistant and Estimator will work closely with project managers, operational teams, sales representatives, suppliers, and subcontractors.

The selected candidate will participate in the analysis of requests, preparation of estimates, planning of work, and administrative and financial follow-up of projects. They must be able to manage multiple files simultaneously, meet deadlines, and maintain a high level of accuracy in their work.

Main Responsibilities

  • Assist project managers in planning, coordinating, and following up on projects.
  • Analyze client requests, plans, estimates, inspection reports, and technical specifications.
  • Prepare detailed estimates by evaluating the needs for materials, labor, equipment, and subcontracting.
  • Conduct necessary research to obtain prices, availability, and deadlines from suppliers and subcontractors.
  • Prepare submissions, commercial proposals, purchase orders, and other project-related documents.
  • Perform necessary follow-ups with clients regarding submissions, missing documents, and next steps.
  • Collaborate with sales and operations teams to ensure clear and complete information transfer.
  • Participate in scheduling, resource planning, and intervention planning for various job sites.
  • Monitor costs, schedules, modifications, and project progress.
  • Quickly identify deviations, risks, or issues that may affect costs, deadlines, or work quality.
  • Keep project files up to date in various internal systems and tools.
  • Prepare progress reports and communicate important information to concerned parties.
  • Contribute to the improvement of estimation, project management, and operational coordination processes.
  • Provide professional service and maintain clear communication with clients, suppliers, and partners.
  • Perform any other tasks necessary for the smooth running of projects.

Qualifications and Experience Required

  • Relevant experience in estimation, project coordination, or project management in the construction, HVAC, building mechanics, or technical services sector.
  • Good understanding of construction methods and the different stages of a project.
  • Ability to read and interpret plans, estimates, technical drawings, and specifications.
  • Good knowledge of cost estimation methods.
  • Excellent proficiency in Microsoft Excel and computer tools.
  • Experience with estimation, project management, or customer relationship management software, an asset.
  • Bilingualism in French and English required to communicate with our clientele and teams in Ontario and Quebec.
  • Valid driver's license.
