Lease Administration Technician

Role and Purpose

The lease administration technician is the central point of contact for the entry, analysis, and integrity of Medway Group's lease data. They translate lease clauses into accurate billing data and ensure consistency between legal documents and amounts billed to tenants.

This is a rigorous role heavily focused on data accuracy, at the intersection of property management and accounting. This person manages a large volume of information with precision and serves as the reference for data quality within the Hopem system.

Key Responsibilities

• Serve as the central point of contact for the creation, analysis, and integration of new leases and renewals into the Hopem system
• Interpret commercial, residential, and medical lease clauses and translate them into accurate billing data
• Keep tenant profiles and space information up-to-date (square footage, deadlines, renewal options)
• Ensure compliance between legal documents (leases, amendments, receipts) and billing issued, validating each component of the rent (base rent, additional rent, operating expenses, taxes)
• Calculate and enter annual rent adjustments (IPC indexing, contractual increases)
• Participate in the annual regularization of operating expenses (OPEX) and property taxes, applying the shares according to the terms of each lease
• Collaborate closely with the accounting team and property managers: reconciling lease and accounting data, resolving billing discrepancies
• Regularly audit data in Hopem and contribute to the reliability of financial reporting by ensuring data integrity at the source

Qualifications

• DEC in administrative techniques, accounting, and management or related field, with 3 to 5 years of relevant experience.
• Excellent understanding of the mechanics of commercial, residential, and medical leases (including the particularities related to medical facility layout and operating expenses)
• In-depth knowledge of rent components and regularization mechanisms (OPEX, taxes, shares)
• Proficiency in the Hopem software and lease billing processes
