- Under the authority of the General Manager,
- the Administrative Assistant
plays an essential role in the smooth functioning of the department. This is a permanent position, with a work schedule from
Monday to Friday, 8:00 AM to 4:30 PM, in Lévis, Quebec.
The Administrative Assistant is a key player in supporting the manager, both in his role as General Manager and in his commercial responsibilities at the purchasing level.
What You Are Responsible For
- Provide administrative support to the General Manager and manage his emails;
- Write emails to clients, review agreements and follow up with customers;
- Answer calls, schedule meetings and collaborate with different departments as well as with the Quebec Account Manager;
- Produce reports, enter data and perform various administrative follow-ups;
- Follow up on payroll, vacations and administrative files of employees under the manager's responsibility;
- Manage uniforms, PPE, office supplies, corporate lodge logistics and follow up on invoices for certain projects;
- Perform any other related tasks.
Qualifications
- To join our team:
- You have relevant experience in an administrative assistant, executive support or similar role;
- You are proficient in computer tools, including Microsoft Office suite, Open ERP;
- You have excellent communication skills, both oral and written;
- You are able to manage multiple files simultaneously with rigor and attention to detail;
- You have an excellent customer service sense and collaborate effectively with different stakeholders;
- You exercise discretion and are able to handle confidential information;
- You are autonomous, resourceful and take initiative;
- You are bilingual (French and English), both oral and written.
