Description
The person holding this position welcomes residents and visitors to the residence and responds to their requests. They assume some moderately complex administrative support tasks and perform general office work.
Main Responsibilities
Reception of Residents
- Ensures the reception desk is always staffed;
- Responds to various requests at the reception desk or as needed, refers residents to appropriate resources;
- Answers, filters, and directs calls and takes messages as needed;
- Ensures that all residents and visitors to the residence register for short-term absences or outings;
- Contacts residents to inform them of visits;
- Daily reporting of residents with a welcome message and notifies the care staff of any anomalies;
- Records prolonged absences of residents, such as vacations and hospitalizations, in the appropriate register and communicates the information to the relevant services;
- Writes requisitions for the concierge and health office at the request of residents and delivers them to the concerned service.
Support to the Finance Service
- Operates the cash register, balances the cash at the beginning and end of their shift, records revenue in a designated envelope, and deposits the envelope in accounting;
- Operates the meal management software for all sales and prints statistical reports;
- Performs codifications and entries into the computerized accounting system, particularly for accounts receivable and accounts payable;
- Ensures the stocking of items in the "convenience store";
- Prepares office supply orders in collaboration with the accounting clerk.
Collaboration and Teamwork
- Writes important information for colleagues in the communication book;
- Reads and initials the communication book at the beginning of each shift;
- Prepares requisitions for the facilities and maintenance services or housekeeping;
- Follows up on tasks in progress or to be done with the evening team via the communication book;
- Assists the management and department heads in preparing various files;
- Keeps all organization's registers and reports up to date daily;
- Produces backup copies of the team's workstation computerized data;
- Maintains the resident and staff phone directory;
- Participates in orientation and initiation to work programs for new staff members;
- Attends meetings and committees where their presence is required;
- Performs any other tasks related to their job title as requested by their immediate supervisor.
- Job Requirements
Academic Education
- High school diploma.
Professional Experience
- 3 years of experience.
Technical Skills
- In-depth knowledge of Word, Excel, and Sile Maker Pro software;
- Advanced writing skills;
- Excellent French language skills, both spoken and written.
- RCR (mandatory)
