Who are we looking for?

We are looking for an experienced assistant to the director to join our administrative and operational team.

As the true right hand of the management, this person will play a key role in coordinating administrative, accounting, and organizational operations of the company. We are looking for an autonomous, structured, and versatile profile, capable of evolving in a dynamic environment and managing multiple priorities simultaneously.

  • Establish and coordinate administrative policies and procedures
  • Plan, organize, direct, control, and evaluate daily operations
  • Verify and validate expense reports
  • Receive and record purchase orders
  • Check consultants' time sheets
  • Perform client billing
  • Follow up and remind unpaid invoices
  • Record vendor invoices and prepare payments
  • Collaborate with the external accounting firm
  • Prepare invoices, reports, memorandums, letters, financial reports, and other administrative documents
  • Manage contracts and other corporate documents
  • Analyze received and sent service notes, memorandums, and reports
  • Write presentations and reports and coordinate their preparation, production, and presentation
  • Prepare agendas and coordinate the organization of meetings, committees, and board meetings
  • Conduct research and compile relevant information for the management
  • Meet with individuals or groups of interest to determine issues and recommend action plans
  • Provide professional and effective customer service
  • Participate in data analysis and report writing
  • Participate in the continuous improvement of administrative and operational processes

  • Minimum of 5 years of experience in a similar position
  • Excellent mastery of the Microsoft Office suite, particularly Excel:

  • Management of complex data
  • Understanding of simple macros in VBA
  • Creation of dashboards
  • Essential mastery of the ERP VSActivity:
