The City of Sainte-Thérèse is looking to fill the temporary position of Administrative Technician for a period of one year.
Description
The incumbent will perform administrative functions by coordinating and following up on various files, projects, and activities in accordance with established procedures and policies. They will provide administrative and financial support to the entire service while welcoming and informing various internal, external, and citizen stakeholders. They will also contribute to document management.
Roles and Responsibilities
- Welcome and inform internal, external, and citizen stakeholders who present, call, or write to the service by email;
- Ensure the dissemination and circulation of information, both internally and externally, including postal and electronic communications;
- Manage document management and process documents according to established procedures (printing, photocopying, digitizing, and filing);
- Perform various administrative tasks for the service's needs such as writing, reviewing, and formatting documents, etc.;
- Plan, coordinate, and assist at meetings when required and write meeting minutes;
- Collaborate on the preparation of documents for committees or councils and ensure the required follow-up;
- Organize and administratively follow up on files and projects (contracts, documents, requests for proposals, permits, financial reports, etc.);
- Perform budgetary follow-up and collaborate on the preparation of the annual budget and audits in accordance with internal policies and procedures;
- Design, develop, and maintain various work documents such as tables, graphs, registers, and service activity statistical reports;
- Perform data entry, analysis, and follow-up of financial information (expenses, accounting posts, financial reports, capital projects, loan settlements, etc.);
- Process and follow up on invoices and payments;
- Prepare, process, assign, and follow up on purchase orders;
- Maintain the service's inventory up to date and make necessary purchases;
- Prepare, compile documents related to employee time management in their department and enter them as needed;
- Participate in the improvement of new work processes and methods;
- Provide administrative support when required;
- Perform any other tasks closely related to their work.
Requirements
- Hold a college diploma (DEC) in administrative techniques or another relevant field;
- Have 2 years or more of relevant experience. Experience working in the municipal sector is an asset;
- Have excellent writing skills and excellent mastery of the French language both orally and in writing;
- Be proficient in Microsoft Office Suite software;
- Have a facility for learning computer software;
- Pass the skills tests related to the position's functions;
- Demonstrate high customer service skills;
- Show good work methodology, excellent organization, and diligence;
- Demonstrate initiative and autonomy in work by being able to anticipate administrative needs;
- Be able to manage multiple files simultaneously and work under tight deadlines;
- Demonstrate excellent communication skills, interpersonal relationships, and a strong team spirit;
- Show professionalism, discretion, and always respect confidentiality.
- Schedule
- 34 hours per week
- Monday to
- Thursday from 8:00
- AM to 4:30
- PM and
- Friday from 8:00
- AM to 12:00 PM
- Compensation
- 30.00 CAD/hour
In compensation for the benefits provided in the collective agreement, a fixed amount equivalent to 12% of the total regular earnings is paid to the temporary employee.
