One of our business sectors is looking for an administrative assistant who will be called upon to work with the senior vice president and all the managers in his sector to support him in achieving his business objectives. You will also work closely with the assistants of the other vice presidents of the Quebec business unit.
Job Functions and Responsibilities
- Plan and organize internal and external meetings by proactively and continuously managing calendars;
- Prepare the agenda for the various sector committees;
- Maintain excellent business relationships with our clients (executive assistants to clients, clients during visits, etc.);
- Participate in the integration of new team members (welcome, ordering of materials, reserving offices) and follow-ups on departures (retrieval of materials);
- Revise, check, and write various documents;
- Prioritize files based on urgency, follow up, and make necessary reminders;
- Track hours reported by compliance report;
- Track mandatory training of members;
- Write and distribute information emails to members;
- Manage administrative procedures, including travel reservations, expense reports, authorizations, and approvals of CGI systems;
- Order office supplies, maintain inventory, anticipate necessary supplies, and place orders;
- Ensure continuous vigilance of administrative processes (sales calls, annual evaluations, updating systems, etc.);
- Ensure continuous and compliant archiving of sector administrative and business documentation using the SharePoint filing system;
- Preparation and participation in events.
Qualifications Required to Succeed in This Role
- Hold a college diploma or equivalent experience in the field;
- Have more than 3 years of experience in a similar role;
- Have a great capacity for adaptation and rigor;
- Demonstrate good potential and great motivation for the position;
- Administrative experience at an executive level within a large company;
- Advanced French language proficiency, both oral and written. Good understanding of English;
- Great capacity for writing, reviewing, and formatting executive presentations;
- Skill in event organization;
- Intuitive, autonomous personality who takes initiative;
- Great listening skills and understanding of the needs of sector managers;
- Sharp judgment and quick decision-making and execution;
- Proactivity, analytical thinking, strong sense of priorities, and management capacity;
- Professionalism, diplomacy, and understanding of the needs of clients and sector members;
- Discretion, loyalty, and punctuality;
- Proficiency in Microsoft Office Suite tools.
CGI offers a reasonable estimate of the salary range for this position. The calculation of this range depends on various factors, including skill level, geographic market, experience, education, as well as professional licenses and certifications. Salary decisions depend on the particularities of each case. A reasonable estimate of this salary range is between $40,000 and $85,000. This position is for a candidate pool.
