Receptionist and Secretary Agent
We are looking for a receptionist and secretary agent to join our team. You will be responsible for managing our image.
Your main responsibilities
Provide administrative support to management and technical staff: drafting and reviewing documents, correspondence, updating voicemails, meetings, etc.;
- Perform diverse secretarial tasks: create and revise documents, special forms, letters, etc.;
- Assume responsibility for the Info-Municipality journal: write content, perform layout and printing;
- Ensure the proper functioning and follow-up of office equipment, orders;
- Assume responsibility for managing the petty cash;
- Provide technical and clerical support to organizations: room reservations, photocopies, cards, shipments, accounting, etc.;
- Prepare deposits and make deposits to the Treasury;
- Process various mailings;
- Process the collection of taxes and other amounts, including postdated checks;
- Invoice taxpayers for services rendered;
- Participate in the classification of the municipality's various documents and the search for archived documents;
- Update the Municipality's website and Facebook page;
- Answer telephone calls and welcome visitors;
- Provide administrative support for the general management;
- May be required to replace the administrative assistant as needed.
Communication
- Write and distribute communications to citizens;
- Produce promotional tools and information materials;
- Update media and the municipal website;
- Ensure the visibility of municipal activities and events;
- Provide support to leisure, communications, and arena coordinations.
- Desired Profile
- Diploma in Professional Studies (DEP) in secretarial work or equivalent experience;
- Excellent knowledge of Microsoft Office suite;
- Demonstrate excellent learning and adaptation skills;
- Possess very good oral and written communication skills in French;
- Show autonomy, discretion, diligence, versatility, and initiative.
We Offer
- Full-time permanent position;
- 35 hours per week;
Salary starting at $26.60/hour, in accordance with the applicable collective agreement.
