Administrative Technician (Temporary Position. Approx. 10 months)

The administrative technician works closely with the Information Technology Service management to ensure effective management of administrative activities. Through their commitment and collaborative spirit, they contribute to the smooth functioning of the team and the quality of services offered to citizens.

They provide administrative support to executives, coordinate various internal processes, and monitor administrative files. They play a key role in budget tracking, invoice processing, preparation of administrative documents, and coordination of exchanges with the Finance Service.

As a resource person for the IT Service for administrative and financial questions, they ensure the tracking of budgets, invoices, purchase orders, and related files with rigor, proactivity, and a genuine concern for well-done work.

Here's how you'll contribute to serving the community

  • Ensure complete management of the invoice processing process for the IT Service and perform the required validations;
  • Coordinate the necessary approvals with the concerned managers, monitor pending invoices, and communicate with suppliers in case of errors, discrepancies, missing invoices, or billing issues;
  • Receive, filter, and route mail and emails from the various boxes under their responsibility and attach relevant files to communications requiring a response;
  • Perform a review of the renewal of maintenance contracts, intermunicipal agreements, and validate the content in accordance with the budget and options already exercised in the tender or agreement, detect errors, and follow up directly with the supplier or municipality;
  • Collaborate on the preparation of the annual budget and the corporate IT budget by assisting the Service management in the various steps, then perform manual tracking of budget items, update all necessary tools and files, and report to the Service management;
  • Assist the Service executives in creating recommendations for the municipal council, executive committee, and General Management;
  • Prepare purchase orders according to project estimates or requests and control all orders made by the service to the procurement division;
  • Coordinate and monitor various internal administrative processes of the Service, including the management of time sheets, vacations, absences, training, and other required administrative follow-ups;
  • Collect, compile, analyze, and verify various data and statistics, prepare reports for the service, suggest and present to the director forms and procedures aimed at improving service efficiency;
  • Write or update various texts, documents, reports, minutes, visual presentations, and others;
  • Receive visitors, answer information requests by phone, email, or in person, direct calls to the concerned person, take messages, provide various information about the service's activities, and refer to other services if necessary.

Desired Profile

  • Hold a DEC in administration and management techniques or office management or equivalent in a related field combined with 2 years of significant experience in a similar position;
  • Have excellent mastery of Microsoft Office Suite software, particularly Excel and PowerPoint.

In addition to the above minimum requirements, the person must notably possess marked skills in verbal and written communication, have a good sense of customer service, demonstrate tact, have a developed sense of organization and planning, be autonomous, rigorous, and have the ability to handle multiple tasks at once.
