Building Manager
As a property manager, you are responsible for supervising the staff and all operations related to leasing, administration, housekeeping, and general maintenance of the building and apartments, while ensuring strict compliance with regulatory requirements. You will oversee the daily operations of a residential building with more than 200 units. Under the supervision of the Property Management Director, you will be responsible for guiding the building management towards excellence, focusing on customer service quality, regulatory compliance, operational efficiency, team management and engagement, financial performance, and proactive relationship management. Your goal will be to maintain a 100% occupancy rate. The property manager must demonstrate strong relational skills, an entrepreneurial spirit, good leadership, and strong organizational rigor. Placing the client and tenant at the heart of your priorities will be essential to your success.
Main Responsibilities
- Responsible for supervising all building staff.
- Maintain a high level of tenant satisfaction by offering impeccable availability and listening.
- Work closely with the different departments of the company.
- Ensure optimal management to maximize the building's operational and financial performance.
- Manage daily requests for tenant services with your concierge team, identify issues, and propose solutions. Respond to tenant needs to maintain satisfaction levels using appropriate communication and excellent customer service.
- According to a pre-established schedule with the team in place, be available to respond to emergency calls.
- Prepare management-related documents: lease renewals, payment forms, notices, lease assignments, RL31, files for TAL hearings, building notices).
- Plan and coordinate tenant arrivals and departures to ensure optimal execution.
- Update the management platform by digitizing and organizing documents, including new tenant information, payment terms, and other relevant data.
- Keep the apartment inventory up to date (availability lists, vacancy reports).
- Ensure that appropriate safety and fire protection procedures are followed at all times (coordinate fire drills, smoke detectors, evacuation plan tests).
- Follow the prescribed procedures for the transmission and tracking of building keys or chips.
- Monitor loan payments rigorously and intervene quickly in case of irregularity or non-payment. Offer a high-level customer service to promote retention.
- Monthly budget management.
- Management of purchase orders, invoices, and contracts.
Building Maintenance
- Establish a building maintenance plan, support the concierge, and ensure that the plan is properly executed.
- Supervise, with the concierge team, the work to be done in preparation for the next lease-up.
- Communicate with the different trades for the general maintenance of the building.
- Ensure optimal maintenance quality of common areas and building systems.
Leasing Management
- Display available apartments via the different web platforms, including updating the website.
- Respond to customer inquiries received by email and phone.
- Conduct lease-up visits and complete the pre-leasing documentation with candidates.
- Perform credit checks with credit bureaus and validate candidate references.
- Prepare lease-up documentation (leases, payment forms, annexes, rules, etc.).
Experience and Job Requirements
- Education: A university or college degree in a related field. A professional title in property management is an asset.
- Experience: A minimum of 3 (three) years of experience in multi-residential property management.
- Proficiency in French and English (spoken and written).
- Knowledge of industry regulations, including the Housing Administrative Tribunal (TAL) and operational guidelines.
- Knowledge of the Office suite (Outlook, Word, Excel, and PowerPoint).
- An asset: knowledge of management tools such as UpperBee or any computer system such as a camera system, chip creation, etc.
- Be well organized while having the ability to manage your time appropriately and evaluate your priorities.
- Be able to manage multiple responsibilities and solve problems calmly and efficiently.
- You enjoy being in direct communication with the customer and demonstrate the ability to establish positive interpersonal relationships.
