JOB NATURE

Under the authority of the Head of Registration, Examinations, and Class Scheduling, coordinate all University activities related to examinations and manage them effectively and efficiently; provide backup support to the Examination Office for class scheduling.

MAIN RESPONSIBILITIES

  • Provide support to students, departments, and faculty members; promptly and accurately respond to examination-related requests.
  • Coordinate temporary examination offices autonomously during examination periods; manage unexpected situations and make necessary adjustments to scheduled examinations in case of unforeseen circumstances.
  • Supervise examination proctors and assistants; provide support to students, teachers, and other staff; resolve any examination-related conflicts.
  • Manage and de-escalate urgent or sensitive situations autonomously; in this capacity, be the first person to arrive on-site in case of a medical emergency or other incident during an examination; assess whether to call Security and Prevention Services or an ambulance; provide assistance to students in extreme stress situations.
  • Assist in the preparation and publication of examination schedules.
  • Verify the accuracy of final exams submitted by instructors and ensure coordination with faculties and departments to make necessary corrections to exams; ensure coordination with Dprint and the Distribution Service, and ensure the secure printing of examination copies; perform quality control of exams printed by Dprint.
  • Interview and hire part-time proctors and occasional support staff; provide training and supervision to ensure compliance with academic regulations.
  • Review and approve student requests for DEF (examination deferral) or MED (medical examination deferral) mentions, as well as their requests for examination retakes or replacements; schedule and administer these exams; follow standardized policies and procedures to evaluate student requests while exercising judgment based on their academic records and mitigating circumstances.
  • Process and approve student requests (inter-university examination administration) for students wishing to take exams outside the University and vice versa, requests from external students wishing to take exams at Concordia; ensure the integrity of exams held at external institutions.
  • During peak periods, provide support to the unit responsible for class scheduling; among other tasks, assist in the temporary booking of rooms and other planning tasks.
  • Safely maintain the service's confidential files and handle the archiving of administrative documents in accordance with the University's retention policy.
  • Perform other tasks to support the unit's operations.

QUALIFICATIONS

  • Two-year college diploma (pre-university studies) and two to four years of relevant work experience.
  • Good knowledge (Level 4) of spoken and written English for writing correspondence and communicating effectively with student staff, faculty, and staff; basic knowledge (Level 3) of spoken French. Proficiency in French writing is an asset.
  • Good knowledge (intermediate level) of Word and Excel.
  • Attention to detail.
  • Ability to work effectively under pressure, both in stressful situations and during peak periods.
  • Excellent interpersonal and communication skills; sensitivity in dealing with student staff and faculty.
  • Excellent organizational skills; ability to perform multiple tasks simultaneously to effectively organize work and establish priorities in accordance with tight deadlines, in an environment characterized by a high number of requests.
  • Ability to work as part of a team and autonomously in a customer service-oriented environment.
  • Availability to work outside normal business hours during examination periods.
  • Knowledge of the educational management system is an asset.
