WHO ARE WE?
The APSM is a sectoral collective agreement for health and safety at work dedicated to the mining sector, headquartered in Quebec. Our mission is to support workers and employers in the Quebec mining sector in their management of health and safety at work prevention.
We are looking for a rigorous, organized, and versatile person to join our team as an Assistant to the General Director.
Under the authority of the General Director, the Assistant to the General Director provides the necessary administrative support for the smooth functioning of the organization. The person contributes to the coordination of the activities of the General Director and the Board of Directors, manages the keeping of accounting books and payroll, and ensures liaison with various external suppliers and partners.
The person sought demonstrates rigor, discretion, judgment, and excellent organizational skills. They are autonomous in the way they execute the mandates entrusted to them and ensure reliable and quality follow-ups.
Support to the General Director
- Support the General Director in organizing the meetings of the Board of Directors and the activities related to them;
- Ensure communication with the directors and prepare the required documentation;
- Prepare invitations, documents, and information needed for various meetings;
- Write minutes of the Board of Directors and various committees;
- Prepare correspondence, documents, reports, and other tools required by the General Director;
- Participate in the management of the APSM's request box;
- Carry out various special projects or mandates at the request of the General Director.
- Administrative Support, Human Resources, and Payroll Management
- Perform administrative follow-ups related to employees, including employment contracts, payroll, collective insurance, absences, vacations, and other administrative conditions;
- Collect and transmit the information necessary for payroll processing and the administration of collective regimes;
- Support the welcome and integration of new people and act as a resource person for the organization's systems, tools, and ways of doing things;
- Provide occasional administrative support to the team and contribute to the improvement of internal processes.
Accounting and Finance
- Ensure the current management of accounts payable and receivable, billing, payments, deposits, and classification of accounting documents;
- Prepare and submit various administrative and government documents and declarations required.
Events and Logistics
- Participate in the planning and logistical organization of the annual general meeting, conferences, and some corporate activities;
- Coordinate follow-ups with suppliers, external firms, and other participants;
- Support the logistical and administrative needs related to travel, reservations, and various activities of the organization.
Suppliers, Equipment, and Administrative Support
- Ensure liaison with external suppliers and perform follow-ups related to services, equipment, submissions, orders, and repairs;
- Participate in the management of documentation, classification, and the daily administrative functioning of the APSM;
- Contribute, in all their functions, to protect the image and reputation of the organization.
PROFILE REQUIRED
- DEP in secretarial and accounting, office management, or any combination of relevant training and experience;
- Minimum of 5 years of experience in an Assistant to the Director position or similar functions;
- Proficiency in the SAGE accounting software;
- Proficiency in the Nethris application for payroll;
- Excellent mastery of French, both oral and written;
- Very good mastery of the Microsoft Office suite and proficiency with technological tools;
- Experience in supporting a Board of Directors, an asset.
CONDITIONS AND BENEFITS
- One-year replacement – 35 hours/week;
- Annual salary between $57,000 and $70,000, depending on experience;
- 4 weeks of vacation;
- Flexible and hybrid schedule (office/remote work);
- Cell phone allowance;
- 13 paid holidays + 2 paid days during the Holiday period.
