SMARDT is expanding its operations in North America and is seeking a highly impactful Electrical Designer to develop and maintain the electrical design files for chillers and heat pumps to meet commercial, production, and after-sales service needs.
Role Summary
The Sales Support Coordinator plays a critical support role for the SMARDT sales organization, providing structure, accuracy, and coordination across sales operations, marketing event execution, and order-entry administration. This role acts as a central enabler for the sales team, ensuring data integrity, timely reporting, well-executed sales events, and a clean handoff from sales to operations.
This role is 100% on-site and you'll be expected to work on a daily basis, side-by-side, with your team.
Key Responsibilities
Booking Administration (Order Entry) & SIOP Coordination
- Lead booking administration activities, including preparation, validation, and entry of customer orders.
- Prepare and maintain Sales Order Documentation (SORDs).
- Ensure accuracy of customer details, configurations, pricing, delivery terms, and special requirements.
- Coordinate with Sales, Project Management, Operations, and Finance to resolve issues prior to order release.
- Support a clean handoff from sales to operations.
- Collaborate with the SIOP Manager to support forecasting and backlog accuracy.
Sales Operations, Reporting & Salesforce Administration
- Assist with Salesforce administration activities, including data entry, updates, user support, and maintaining standardized fields and processes.
- Support Salesforce data hygiene by identifying gaps, inconsistencies, or missing updates and coordinating follow-up with the sales leadership.
- Support inter-system data alignment between Salesforce, Sales Portal, Business Central, Septor, and internal dashboards.
- Identify data discrepancies and coordinate resolution with relevant stakeholders.
- Provide analytical and reporting support to the sales team using Salesforce and related tools.
- Execute standard and ad-hoc Salesforce reports to support pipeline reviews, SIOP processes, sales performance tracking, and management reporting.
Events, Trade Shows & Sales Enablement Coordination
- Act as the primary coordinator for sales-related events, including trade shows, customer events, and internal sales meetings.
- Manage event logistics, including venue coordination, travel arrangements, vendor management, shipping, and on-site preparation.
- Coordinate with external vendors to ensure timely and cost-effective execution.
- Manage inventory of sales collateral and promotional materials.
- Prepare and ship promotional materials, giveaways, and promotional items.
- Support customer factory visits by coordinating logistics and accommodations.
Skills
- Bilingual (French/English) *see note below*
- Strong analytical and organizational skills with attention to detail.
- Proficiency in Excel and standard office tools.
- Strong communication skills and ability to coordinate across functions.
- Familiarity with order entry processes and commercial documentation.
- Exposure to SIOP or demand planning processes.
Education & Experience
- Diploma or degree in Business Administration, Sales Operations, Marketing, or a related field.
- 2 to 4 years of experience in sales administration or commercial support.
- Experience with Salesforce and report management.
- Experience in manufacturing, CVC, or make-to-order environments.
- Experience in supporting trade shows or sales enablement activities.
