The Opportunity

As the Materials Management Coordinator, you will oversee the physical movement, setup, kit preparation, and delivery of cannabis products and packaging materials within the warehouse and production facility. Your role ensures that the right materials reach the right place at the right time to maintain uninterrupted production. Reporting to the Materials Management and Distribution Supervisor, this position operates in a regulated and dynamic environment, requiring strict adherence to Health Canada regulations, as well as BPF and BPP standards at every step.

Your Responsibilities

Handling, Kit Preparation, and Setup for Production

  • Pick, prepare kits, and set up cannabis biomass and packaging materials for production cycles based on work orders and production requests, ensuring materials are ready before scheduled start times
  • Restock materials on the production line during active cycles, monitoring consumption and proactively preventing production downtime
  • Process material returns at the end of production cycles from the production facility by performing accurate counts, completing documentation, and recording transactions in the Warehouse Management System (WMS)
  • Manage material transfers between warehouse zones and production preparation areas, ensuring all movements are recorded in the system and physically verified

Receiving, Shipping, and Order Processing

  • Receive incoming shipments of raw materials and packaging components, counting products and verifying against shipping documents and purchase orders
  • Inspect incoming goods for damage or discrepancies; record shortages, reject damaged materials, and report issues to the team lead
  • Stock received materials following WMS workflows and appropriate storage protocols (temperature, humidity, safety, material separation)
  • Assist in shipping activities, including finished product preparation, shipping document preparation, and shipment content validation against orders

Stock Accuracy and WMS/ERP Transactions

  • Accurately perform all inventory movements (picks, puts, transfers, holds, returns, adjustments) in the WMS/ERP system using handheld scanners
  • Perform all system transactions in real-time as goods are physically moved to maintain real-time visibility of inventory across the facility
  • Assist in conducting cycle counts in assigned areas and help the inventory control team investigate and resolve discrepancies

Production and Planning Coordination

  • Coordinate daily with production and planning teams to align kit preparation priorities with scheduling changes and material needs
  • Communicate quickly to the team lead and production stakeholders about item availability issues, delays, or shortages
  • Respond promptly and accurately to ad-hoc material requests from production (urgent orders, line changes, touch-up materials)

Cannabis Handling, BPF Compliance, and Safety

  • Handle all cannabis products in strict compliance with Health Canada regulations, the Cannabis Act, BPF requirements, and BPP standards
  • Follow FIFO/FEFO protocols for all material picks; verify lot numbers, quantities, expiration dates, and quality assurance validation status before staging
  • Maintain appropriate separation of materials between cannabis product categories and between validated, quarantined, and retained stocks
  • Adhere to all health and safety protocols, including PPE use, forklift and pallet jack operating procedures, and hazard reporting

Team Support and Continuous Improvement

  • Support new team member training on handling procedures, WMS transactions, safety protocols, and BPF practices
  • Contribute to team KPIs, including on-time setup rates, order preparation accuracy, stock accuracy, and safety metrics

Participate in 5S activities, workplace organization initiatives, and continuous improvement projects as assigned

Education

  • High school diploma or equivalent required
  • Post-secondary studies in supply chain, logistics, or a related field are an asset
  • SIMDUT certification; first aid and CPR certification are an asset

Experience

  • 1 to 3 years of experience in a warehouse, distribution center, manufacturing site, or industrial environment, in a handling or coordination role
  • Practical experience with order preparation, kit assembly, setup, receiving, or shipping activities in a dynamic operational environment
  • Experience in the regulated cannabis industry or a regulated industry (pharmaceutical, food, consumer goods) with knowledge of BPF or BPP standards is an asset
  • Forklift certification (counterbalance and/or reach truck): an asset

Knowledge and Skills

  • Practical knowledge of Warehouse Management Systems (WMS) or ERP platforms and handheld scanning devices; ability to quickly learn new systems
  • Solid understanding of inventory management principles, including FIFO/FEFO, lot tracking, and material verification
  • Basic proficiency in Microsoft Office, particularly Excel, for record-keeping and data entry tasks
  • Strong attention to detail and ability to perform repetitive tasks accurately within tight production deadlines
  • Strong organizational skills and ability to manage multiple tasks and changing priorities throughout the shift
  • Good oral and written communication skills in English; bilingual (English/French) is an asset
  • Compliance mindset – takes BPF, BPP, and cannabis handling requirements seriously and systematically follows standard operating procedures
  • Eligible for and able to maintain a valid Health Canada security clearance (criminal record check by GRC) in accordance with the Cannabis Act

Physical Requirements

  • Ability to regularly lift loads of 18 to 23 kg; occasionally lift heavier loads with assistance or mechanical means
  • Ability to stand, walk, bend, reach, and lift loads throughout the shift in a warehouse and production environment
  • Regular use of handling equipment, including pallet jacks, hand trucks, and forklifts (if certified)
  • Must be available to work part of the weekend and perform overtime during peak production periods or inventory operations
