Monteregie East Partnership for the English-speaking Community (MEPEC) is a not-for-profit organization whose mission is to serve the interests of the English-speaking community of the Montérégie-Est. MEPEC is currently recruiting a 20 hours per week Administrative Agent to be responsible for providing administrative support to the management team and coordinators. The Administrative Agent ensures the smooth running of the office's day-to-day operations, welcoming members and visitors and ensuring appropriate administrative support, efficient office organization, and exceptional customer service.

KEY RESPONSIBILITIES

Administrative Tasks

  • Welcome in-person members and visitors and answer telephone calls, determine the purpose of their visit and redirect them to the appropriate person or external resource.
  • Manage MEPEC’s shared email boxes (Info and Library), by answering, redirecting messages and emails, and sorting and distributing mail.
  • Maintain the inventory, and purchase office and project materials and supplies.
  • Carry out various financial tasks such as paying bills, preparing cheques, processing expense claims, managing petty cash, making bank deposits and preparing monthly accounting records.
  • Oversee the smooth running of the activities in the Community Space by collaborating closely with the other coordinators, volunteers and contractors:
  • Enter activities and participants data in the operational database for reporting purposes;
  • Support the other coordinators, volunteers and contractors in providing hands-on help during activities, when necessary;
  • Support volunteers and contractors in administrative tasks related to their responsibilities.
  • Perform various general administrative support tasks.
  • Coordinate deliveries and pick-ups.

Other Tasks

  • Participate in representation and networking activities, as needed.
  • Participate in team meetings, as well as in the planning and execution of the organization's events and initiatives.
  • Perform any other related tasks assigned by the Office Manager.

PROFESSIONAL REQUIREMENTS

  • Hold a high school diploma, completed by professional training (AEC) in office administration or a related field.
  • Significant experience in communication and/or office administration may be considered in lieu of the required academic training.
  • Have one (1) to less than three (3) years of relevant experience, including the period required to master the functions.
  • Be proficient in relevant software, including Microsoft Office 365, Airtable and Canva.
  • Have a good knowledge of administrative and office procedures.
  • Have experience in information management.
  • Have experience in accounting and reporting obligations.
  • Demonstrate excellent mastery of French and English, both spoken and written.

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent interpersonal and communication skills.
  • Strong professional autonomy and ability to work independently as well as within an interdisciplinary team.
  • Excellent writing and documentation skills, with a great attention to detail.
  • Strong customer service orientation.
  • Flexibility, adaptability and a collaborative spirit.

EMPLOYMENT CONDITIONS

  • 20 hours per week, distributed Monday to Thursday and a half-day on Friday.
  • Start date: July 28, 2026.
  • Hourly rate: $22.40 to $25.20.
