Reporting to the Chief and Associate Syndicate, you will respond to the administrative needs related to the service's activities.
YOUR DAILY ROUTINE
- Communicate with various stakeholders to obtain and/or transmit information related to investigation files;
- Ensure rigorous follow-up of investigation files, including tracking regulatory deadlines and preparing the required correspondence;
- Answer and transfer telephone calls;
- Perform occasional research in various databases (including RDPRM and land registry) regarding investigation files;
- Perform text revision, layout, correspondence writing, file tracking, and mail processing;
- Ensure the accuracy and update of collected information and enter it into the file;
- Perform the filing and declassification of paper documents in accordance with the retention schedule;
- Perform any other related tasks.
YOUR PROFILE
- Diploma of Vocational Studies (DEP) in secretarial work;
- 3 to 5 years of relevant experience;
- Advanced knowledge of French;
- Intermediate knowledge of English;
- Excellent knowledge of Microsoft Office Suite and Adobe Acrobat Pro tools;
- Great ability to adapt and work under pressure in a demanding environment with difficult clients;
- Be flexible and versatile;
- Show empathy and judgment;
- Show rigor, discretion, and initiative;
- Have a sense of organization, planning, and priority management;
- Be meticulous and methodical;
- Experience in a notary's office or basic legal training (asset).
