Description of the Institution

*Founded in 1928, Collège Brébeuf is a private, accredited educational institution. The College employs over 400 people and serves approximately 1200 secondary students and nearly 1700 college students. Our institution is close to all services and easily accessible by public transportation, active transportation, and car.* *Collège Jean-de-Brébeuf is seeking a full-time Administrative Support Agent or Agent Class I for school life support, starting in August 2026 and ending on June 25, 2027 (contract renewable annually).* *The person holding this position provides administrative support and logistical management of activities related to school life and teaching staff. They ensure the strict application of administrative procedures and contribute to the smooth daily operation of the institution.*

Main Responsibilities

Management of absences and delays (students and teachers):

  • Administer the absences of teaching staff via Scolago, assign supervisors to cover classes, and transmit the daily assignment report to student support technicians;
  • Monitor daily student absences by calling parents and record planned absences and early departures in the College's internal software;
  • Produce and distribute periodic reports on the accumulation of delays and absences to the Deputy Directors (DA) and student support technicians;
  • Enter and track student delay documentation in the College's internal software;
  • Prepare and submit the teaching staff absence report to the Educational Services Department (DSP).
  • School logistics and coordination:
  • Coordinate the logistics surrounding school photos and organize the process of assigning and distributing lockers;
  • Serve as a liaison with the Deputy Director of Information Technologies (DATI) to adjust bell schedules if necessary;
  • Prepare, order, and distribute essential administrative and logistical materials, among others, during the school year, open houses, etc.

Desired Profile and Skills

  • Excellent organizational and priority management skills;
  • Administrative rigor and attention to detail to ensure precise tracking of absences, delays, reports, and administrative data;
  • Strong communication and customer service skills with students, parents, teaching staff, and various College services;
  • Proficiency in computer tools and ease of learning and using different school and office management software.

Required Qualifications

  • High school diploma (DES);
  • Excellent French language skills, both oral and written;
  • Good proficiency in Microsoft Office suite (Word, Excel, Outlook).

Assets

  • Work experience in an educational institution or with an adolescent clientele;
  • Knowledge of a school management software or attendance and punctuality management system (e.g., Scolago or equivalent).
